Position Overview
We are seeking a highly organized, professional, and detail-oriented Medical Receptionist / Insurance Assistant to join our multidisciplinary therapy practice in Southern Maryland. This in-person role is an essential part of our patient care team, serving as the first point of contact for patients while supporting front office operations, scheduling, insurance verification, authorizations, and administrative functions.
The ideal candidate will have excellent customer service skills, experience working in a healthcare setting, and a strong understanding of insurance processes. This position supports Physical Therapy (PT), Occupational Therapy (OT), Speech-Language Pathology (SLP), and psychological services.
This role requires frequent inbound and outbound phone communication with patients, referral sources, healthcare providers, and insurance companies. Candidates must be comfortable answering a multi-line phone system and making a high volume of phone calls throughout the day. The successful candidate will thrive in a fast-paced environment and possess exceptional multitasking abilities, balancing patient interactions, scheduling, insurance-related tasks, and administrative responsibilities simultaneously while maintaining accuracy and professionalism.
Responsibilities
Front Desk & Patient Support
  • Greet and check in patients in a friendly, professional, and welcoming manner
  • Answer and manage incoming phone calls efficiently and professionally
  • Make outbound calls to patients regarding scheduling, appointment reminders, insurance information, authorizations, and account inquiries
  • Schedule, reschedule, and confirm patient appointments
  • Respond to patient inquiries and provide excellent customer service
  • Collect and maintain accurate patient demographic and insurance information
  • Assist patients with registration forms and required documentation
  • Ensure patient records are maintained accurately and in compliance with HIPAA regulations
  • Manage patient flow and maintain a clean and welcoming reception area

Insurance & Billing Support
  • Verify patient insurance eligibility and benefits
  • Obtain and track prior authorizations as required
  • Update patient files with accurate insurance information
  • Communicate with insurance companies regarding coverage, benefits, and authorization requirements
  • Contact insurance providers to resolve claim issues and obtain authorization updates
  • Assist with claims follow-up and denial resolution
  • Address billing inquiries and escalate issues as appropriate
  • Ensure all insurance documentation is complete prior to services being rendered

Administrative & Team Support
  • Coordinate with therapists and administrative staff to support efficient daily operations
  • Assist with patient intake and onboarding processes
  • Maintain organized electronic and paper records
  • Support office workflows and special administrative projects as needed
  • Collaborate with the front office and billing team to ensure scheduling and billing accuracy
  • Effectively manage multiple responsibilities simultaneously, including patient check-in/check-out, phone calls, scheduling, insurance verification, authorizations, and administrative support
  • Prioritize urgent patient, provider, and insurance requests while maintaining efficient office operations

Qualifications
  • Previous experience as a Medical Receptionist, Medical Administrative Assistant, Insurance Coordinator, or similar healthcare office role preferred
  • Experience with insurance verification, authorizations, claims follow-up, and denial management strongly preferred
  • Familiarity with Physical Therapy, Occupational Therapy, Speech Therapy, Behavioral Health, or other outpatient healthcare settings is a plus
  • Knowledge of HIPAA regulations and patient confidentiality requirements
  • Proficiency with electronic medical records (EMR) systems and insurance portals (e.g., Prompt, Availity, CareFirst, Humana Military)
  • Must be comfortable answering and making phone calls throughout the workday
  • Strong telephone etiquette and professional communication skills
  • Ability to confidently communicate with patients, insurance representatives, healthcare providers, and referral sources
  • Experience working with a multi-line phone system preferred
  • Exceptional multitasking skills with the ability to manage competing priorities and frequent interruptions throughout the day
