Accountabilities

Operational & Project Coordination

  • Support executive and senior leaders in coordinating operational priorities, projects, timelines, deliverables, and action items
  • Assist with the planning, execution, and follow-up of operational initiatives, business activities, and strategic projects
  • Prepare and maintain project and operational documentation, including meeting notes, action item trackers, presentations, reports, and status updates
  • Coordinate and follow up on deadlines, approvals, commitments, and deliverables to help ensure initiatives remain on track
  • Coordinate activities and information between leaders, departments, and stakeholders to support operational planning, project execution, and informed decision-making
  • Gather, organize, and summarize information to support projects, business initiatives, operational reviews, and leadership discussions
  • Support the implementation of new processes, programs, and initiatives through effective coordination, communication, documentation, and follow-up
  • Identify and escalate risks, gaps, delays, competing priorities, or resource constraints that may impact progress

Business Administration & Operational Support

  • Provide administrative and operational support to executive and senior leaders, helping ensure priorities, activities, and information are effectively organized and coordinated
  • Prepare, maintain, and update business documents, reports, presentations, templates, trackers, records, and other operational resources
  • Support operational processes by maintaining accurate, organized, and accessible information and documentation
  • Coordinate internal requests, approvals, documentation, and workflows to support efficient business operations
  • Maintain records of key decisions, operational initiatives, action items, and supporting documentation
  • Assist in preparing leadership materials, business communications, reports, presentations, and summaries
  • Support the administration of business programs, processes, and operational activities through effective organization, documentation, and follow-up
  • Exercise sound judgement, discretion, and confidentiality when handling sensitive business, teammate, client, or operational information

Process Improvement, Documentation & Reporting

Process Improvement

  • Review operational and administrative processes to identify opportunities to improve efficiency, consistency, and effectiveness
  • Identify process gaps, inefficiencies, risks, or areas where additional structure, controls, or documentation may improve operational effectiveness
  • Create and maintain templates, checklists, forms, guides, and other resources that support operational consistency and efficiency

Documentation & Knowledge Management

  • Document and maintain business processes, workflows, procedures, responsibilities, and operating practices to support consistency and knowledge sharing
  • Maintain organized and accessible business records, documentation, and operational information to support business continuity and informed decision-making

Reporting & Analysis

  • Develop and maintain reports, trackers, dashboards, spreadsheets, and other tools used to monitor operational performance and business activities
  • Compile, analyze, and summarize information, metrics, and data to support planning, decision-making, and reporting requirements
  • Prepare reports, presentations, summaries, and materials for leadership review, planning, and decision-making

Stakeholder Communication & Follow Up

  • Build and maintain effective working relationships with leaders, teammates, and stakeholders across the organization
  • Facilitate communication and information sharing across teams to support alignment, decision-making, and operational effectiveness
  • Communicate project, operational, and business updates, including priorities, deadlines, process changes, and key milestones
  • Monitor action items, commitments, and deliverables, following up as required to support accountability and timely completion
  • Support cross-functional collaboration by ensuring stakeholders have accurate, current, and accessible information
  • Exercise discretion and confidentiality when handling sensitive business, teammate, client, and operational information
  • Escalate risks, concerns, or issues requiring additional guidance or leadership direction

Health & Safety

  • Adhere to and stay informed on all Health & Safety requirementsas outlined in the organization's policies, procedures, and any relevant legislation
  • Follow established safety procedures and protocols
  • Use required controls to protect against potential hazards, including Personal Protective Equipment (PPE)
  • Identify and report any unsafe conditions, hazards, incidents, or potential risks
  • Promote a culture of safety through active involvement, attending training, and supporting teammates


Experience and Qualifications

We welcome candidates with a blend of relevant experience and/or education. The ideal candidate will demonstrate:

  • Post-secondary education in Business Administration, Commerce, Operations Management, Project Management, Office Administration, or a related field is considered an asset
  • 3+ years of experience in business operations, administration, project coordination, executive support, business support, or a related role
  • Experience supporting executive and senior leaders, operational priorities, business processes, projects, or cross-functional initiatives
