Qualifications

Two years of college or business college equivalent

Five years of secretarial experience

Proficiency in oral and written communication

Ability to type 60 words per minute

Excellent organizational skills

Shorthand preferred

Superior knowledge of office and telephone etiquette

Knowledge of basic bookkeeping

Superior public relations skills

Proficiency in the use of computer equipment and word processing software

Loyalty and discretion

Ability to work under pressure

Job Goal

To assist in the coordination and operation of the department or area of service by providing the assistant superintendent with executive secretarial services attendant to the duties of his/her position.

Essential Functions

Performs the usual office routines and practices associated with a smoothly run office

Takes and transcribes dictation of various types, including correspondence, reports, notices, and recommendations.

Obtains, gathers, and organizes pertinent data as needed and puts into usable form

Maintains a regular filing system, as well as a set of locked confidential files, and processes incoming correspondence as instructed

Places and receives telephone calls and records messages

Orders and maintains supplies as needed

Performs any bookkeeping tasks associated with the specific position

Maintains a schedule of appointments and makes arrangements for conferences and interviews

Assists in organizing district educational conferences

Assigns duties to and supervises the work of clerical office personnel

Welcomes visitors and arranges for their comfort and screens unexpected callers in accordance with predetermined policy

Performs other related duties as requested or assigned

Evaluation

Performance of this job will be evaluated in accordance with provisions of the Board's policy on evaluation of personnel.
