Job description

Job Summary

We are seeking a proactive and detail-oriented Administrative Assistant to support our growing U.S. operations. This role is responsible for managing daily office administration, coordinating with external vendors and government agencies, maintaining business documentation, and supporting office operations to ensure efficient business activities and regulatory compliance.↳

Key Responsibilities

  • Coordinate daily office administration and operations.
  • Maintain office records, business documents, and filing systems.
  • Handle data entry, document preparation, scanning, filing, and correspondence.
  • Coordinate meetings, schedules, and general office logistics.
  • Manage invoices, receipts, payment records, and expense documentation.
  • Serve as the primary contact for landlords, property managers, insurance providers, government agencies, and external vendors.
  • Support office setup, facility management, and vendor coordination.
  • Assist with insurance applications, renewals, business licenses, permits, and other compliance-related administrative processes.
  • Support employee onboarding documentation and other HR administrative tasks as needed.
  • Provide administrative support to management and collaborate with the Taiwan headquarters.
  • Perform other administrative and operational duties as assigned.

Required Qualifications

  • Legally authorized to work in the United States.
  • 2+ years of administrative, office coordination, or related experience preferred.
  • Strong organizational, communication, and multitasking skills.
  • Ability to work independently and manage multiple priorities.
  • Proficient in Microsoft Office, Google Workspace, email, and spreadsheet applications.
  • Detail-oriented, responsible, and willing to learn.
  • Basic English communication skills required.

Preferred Qualifications

  • Mandarin Chinese language skills are a plus.
  • Experience coordinating with vendors, landlords, insurance providers, or government agencies.
  • Experience with office administration, document management, invoices, and expense records.
