The Position

We are seeking an Administrative Assistant to provide administrative assistance to our Office Administrator within a fast-paced law firm environment.

Key Responsibilities:

  • Provide administrative support to the Office Administrator and assist with daily office operations.
  • Manage calendars, prepare correspondence, reports, presentations, and other business documents.
  • Draft, prepare, and distribute meeting agendas and related materials.
  • Assist with employee communications and reminders.
  • Assist with basic financial and administrative processes, vendor invoices, expense reports, and other administrative paperwork.
  • Assist with the preparation of onboarding documentation for new employees.
  • Assist with scheduling and coordination of new attorneys' photo sessions and coordination.  
  • Assist with coordination of Coordinate meetings, conferences, and training sessions office events, including scheduling and room reservations.
  • Help organize firm office events, training sessions, and employee engagement activities.
  • Assist with file inventory and comply with file storage processes.  
  • Serve as backup support for other general administrative duties and provide cross-functional support as needed.

Qualifications

  • Must have a high school diploma
  • Strong computer and keyboarding skills with proficiency in MS Office Suite and document management systems
  • Attention to detail and organizational skills are critical
  • Clear and effective communication skills, both orally and in writing
  • Must be able to multitask and successfully manage a variety of demands daily
  • Must be able to work independently and be proactive
  • Good problem-solving, planning, confidentiality, and time management skills are important
  • Ability to work well in a team environment
