Sales Support and Contract Administration Assistant

Location: Alaska (Anchorage / Mat-Su area with support for remote and off-grid project sites statewide)

Employment Type: Full-Time

Reports To: Sales Manager or Director of Business Development

POSITION SUMMARY

Susitna Energy Solutions is seeking a detail-oriented and proactive Sales Support and Contract Administration Assistant to provide essential administrative and operational support to the sales team and key client partners (Hatcher General Construction and Tikigaq Federal Services). This role is critical in ensuring smooth sales processes, accurate contract administration, timely client support, and efficient coordination across multiple entities. The ideal candidate will thrive in a fast-paced environment, excel at multitasking, and contribute to the growth of off-grid renewable energy solutions and related construction/logistics services in Alaska.

KEY RESPONSIBILITIES

  • Provide high-level administrative support to the sales team, including scheduling client meetings, preparing proposals, quotes, and presentations.
  • Manage contract administration processes: prepare, review, track, and maintain contracts, service agreements, change orders, and related documentation for SES, Hatcher General Construction, and Tikigaq Federal Services projects.
  • Support client relationship management by serving as a primary point of contact for routine inquiries, coordinating site assessments, project documentation, and follow-ups.
  • Maintain accurate records of sales pipelines, client interactions, project status, and compliance documentation in CRM or shared systems.
  • Assist with invoicing, purchase orders, vendor coordination, and tracking of project deliverables and timelines.
  • Prepare and organize sales and project reports, marketing materials, and internal communications.
  • Coordinate with internal teams (field technicians, accounting, project management) and external partners to ensure seamless project execution.
  • Handle general office and administrative tasks including filing, data entry, expense tracking, and supply management.
  • Support compliance efforts related to government contracts, renewable energy incentives, and Alaska-specific project requirements.
  • Contribute to process improvements and the development of standardized sales and contract tools/templates.

QUALIFICATIONS

Required Qualifications

  • Strong organizational skills with exceptional attention to detail and accuracy.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and comfort with CRM or project management tools.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities and meet deadlines in a dynamic, fast-paced environment.
  • Valid Alaska driver’s license and ability to pass background checks.

Preferred Qualifications

  • Experience in sales support, contract administration, project coordination, or administrative roles (preferably in construction, energy, logistics, or government contracting).
  • Experience with government contracting, federal or Alaska state projects, or renewable energy/construction industries.
  • Knowledge of contract terminology, compliance requirements, and basic project management principles.
  • Familiarity with off-grid energy systems, solar, or remote Alaska operations is a plus.
