Premier & Confident Dental Lab is a growing full-service dental laboratory dedicated to providing exceptional products and customer service. We are seeking a highly organized, proactive, and dependable Executive Assistant / Operations & Accounting Assistant to support our Office Manager in the day-to-day operations of the business.

This position is ideal for someone who enjoys wearing multiple hats, is detail-oriented, takes initiative, and is comfortable working with accounting, payroll, HR, and administrative functions in a fast-paced environment.

Position Summary

The Executive Assistant / Operations & Accounting Assistant will provide administrative and operational support while assisting with accounting, payroll, human resources, purchasing, and office management. This individual will play a critical role in keeping the office organized and ensuring daily business operations run smoothly.

Responsibilities

Accounting

  • Assist with Accounts Receivable, including invoicing and payment posting.
  • Assist with Accounts Payable by entering invoices and preparing vendor payments.
  • Perform bank and credit card reconciliations.
  • Assist with month-end financial reporting.
  • Maintain accurate records in QuickBooks Online.
  • Support collection efforts on past-due accounts.

Payroll & Human Resources

  • Assist with bi-weekly payroll processing.
  • Review employee timecards and PTO balances.
  • Maintain employee records and personnel files.
  • Assist with onboarding and offboarding employees.
  • Help administer employee benefits.
  • Prepare payroll and HR documentation.

Office Administration

  • Answer incoming phone calls and assist customers.
  • Manage office supplies and purchasing.
  • Maintain filing systems and business records.
  • Coordinate meetings, appointments, and calendars.
  • Assist with special projects and process improvements.
  • Prepare reports, spreadsheets, and business correspondence.

Operations

  • Assist with inventory tracking and purchasing.
  • Coordinate vendor relationships.
  • Help maintain company policies and procedures.
  • Assist with workflow improvements and operational projects.
  • Support multiple departments as needed.

Qualifications

  • Minimum of 3 years of administrative, accounting, or office management experience.
  • Strong working knowledge of QuickBooks Online (required).
  • Experience with Accounts Receivable and Accounts Payable.
  • Payroll experience preferred.
  • Experience with Microsoft Excel, Word, and Outlook.
  • Excellent organizational and time management skills.
  • Strong verbal and written communication skills.
  • High attention to detail and accuracy.
  • Ability to handle confidential information with professionalism.
  • Ability to prioritize multiple tasks and meet deadlines.

Preferred Qualifications

  • Experience using ADP Payroll.
  • Experience in manufacturing or a dental laboratory environment.
  • Knowledge of inventory management.
  • Associate's degree in Accounting, Business Administration, or a related field (preferred but not required).
