Accounting Operations Manager

Enhanced Information Solutions (EIS) is a highly successful and well-respected consulting firm headquartered in Stillwater, MN, serving a specialized niche within the pharmaceutical and biotechnology industries. With a strong reputation for delivering innovative software and services, we are experiencing rapid growth driven by increasing client demand.

As we enter this exciting phase of expansion, we are looking to add an Accounting Operations Manager to our team who can help build and scale our financial operations to support continued success.

Position Summary

The Accounting Operations Manager will serve as the senior accounting and financial operations leader for a privately held, global consulting organization with approximately 200 employees. This is a hands-on role responsible for building, managing, and executing all core accounting and financial processes in the absence of a formal accounting department.

The Accounting Operations Manager will assume responsibility for key financial functions currently managed by the President, including invoicing, collections, payroll oversight, expense management, and purchase order tracking. This individual will ensure financial accuracy, operational efficiency, and compliance across multiple international entities.

Key Responsibilities

1. Financial Operations & Close

  • Own and execute all accounting operations, including general ledger, journal entries, and reconciliations
  • Prepare monthly, quarterly, and annual financial statements
  • Establish and maintain a timely and accurate financial close process
  • Develop accounting policies and internal controls from the ground up

2. Billing, Invoicing & Revenue Tracking

  • Oversee client invoicing processes (project-based and/or time & materials)
  • Ensure billing accuracy, timeliness, and alignment with contracts and purchase orders
  • Track revenue recognition and project profitability
  • Partner with project managers to ensure proper documentation and billing compliance

3. Collections & Cash Management

  • Manage accounts receivable and lead collections efforts
  • Monitor cash flow and maintain short- and long-term cash forecasts
  • Implement processes to improve Days Sales Outstanding (DSO)
  • Maintain relationships with clients regarding billing and payment issues

4. Payroll & Employee Compensation

  • Oversee payroll processing for U.S. and international employees (via vendors or PEOs as applicable)
  • Ensure compliance with applicable tax laws and employment regulations
  • Coordinate benefits administration and related accounting

5. Expense & Purchase Order Management

  • Implement and manage expense reporting processes and policies
  • Track and monitor employee expenses and company spending
  • Oversee purchase order system usage, ensuring proper approvals and budget alignment
  • Identify cost-saving opportunities and ensure spending discipline

6. Global Entity Oversight

  • Manage financial activities across multiple international entities (U.S., Puerto Rico, Canada, Ireland, France, Germany, Turkey, and India)
  • Coordinate with local advisors on tax, compliance, and statutory reporting requirements
  • Ensure appropriate consolidations and intercompany accounting
  • Monitor foreign currency impacts and compliance with local regulations

7. Compliance, Tax & Audit

  • Coordinate with external accountants for tax preparation and filings in all jurisdictions
  • Ensure compliance with applicable financial regulations and reporting requirements
  • Support audits, including preparation of schedules and documentation
  • Maintain proper internal controls and financial governance practices

8. Systems & Process Improvement

  • Evaluate and implement accounting and financial systems (ERP, billing, expense tools)
  • Establish scalable processes to support company growth
  • Improve automation and reporting capabilities
  • Create dashboards and financial insights for leadership

9. Leadership & Business Partnership

  • Serve as a key financial advisor to the President and leadership team
  • Provide financial analysis, insights, and recommendations for decision-making
  • Gradually build and manage a small accounting/finance team as the company grows
  • Relieve the President of day-to-day financial operational responsibilities

Qualifications & Experience

  • Bachelors degree in Accounting, Finance, or related field (CPA preferred)
  • 5+ years of progressive accounting/finance experience, with at least 2-3 years in a Controller or similar role
  • Solid experience working with QuickBooks
  • Experience in consulting, professional services, or project-based business strongly preferred
  • Demonstrated ability to operate as a hands-on contributor in a lean environment
  • Experience managing multi-entity and international accounting operations
  • Strong understanding of revenue recognition, invoicing, and project-based financial management
  • Familiarity with global payroll and compliance requirements

Compensation & Benefits

  • Base salary $125,000 to $150k depending on experience
  • 10% performance bonus
  • 100% employer-paid medical coverage for employees and families
