Summary
The receptionist position provides excellent customer service with routine clerical support services to ensure adequate support to professional and management staff.
Essential Duties & Responsibilities
  • Greets and directs visitors, and completes and issues all necessary documentation, including the creation of badges and guest lists.
  • Handles telephone calls, monitors emails and mail and overnight documents.
  • Schedules appointments including catering needs, maintains calendars, handles travel arrangements for team.
  • Ensure that meeting and conference rooms are reserved, and appropriate equipment is available for meetings.
  • Operates office machines, such as photocopiers and scanners, voice mail systems.
  • Stamp and sort packages and mail and distributes to appropriate parties in a timely manner to ensure proper routing.
  • Maintains tidy office area to ensure orderliness of facility. Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
  • Undertakes general clerical duties with specific projects as required

Education and/or Experience
  • A high school diploma required with 3-5 years of administrative experience.
  • Ability to use discretion and maintain confidentiality.
  • High level of organizational ability and ability to multi-task.
  • Ability to be proactive and work independently.
  • Ability to work under tight deadlines.
  • Detail-oriented with good analytical skills.
  • Professional demeanor.
  • Proficiency with personal computers and Microsoft Office applications (i.e., Word, Excel, Outlook and PowerPoint) with the ability to operate standard office equipment.
  • Experience using UPS, Federal Express or other online shipping applications.
