POSITION SUMMARY

The Data Management Specialist is responsible for executing day-to-day data and document operations to maintain the accuracy, completeness, and usability of information within the organization's CRM (Microsoft Dynamics) and SharePoint systems. This role ensures data quality supports reporting, compliance requirements, and business workflows. The ideal candidate is detail-oriented, organized, and comfortable working in a fast-paced environment with defined procedures and service level expectations.


KEY RESPONSIBILITIES

CRM Data Entry & Maintenance

โ€ข Create, update, and maintain records in Microsoft Dynamics CRM and related systems following established procedures and data standards.

โ€ข Enter client, prospect, deal, and transaction data accurately and completely based on source documents and requests.

โ€ข Update contact information, account hierarchies, and relationship mappings as changes occur.

โ€ข Ensure data fields are populated consistently to support reporting and analytics requirements.

โ€ข Flag incomplete or inconsistent records for review and correction.


Document Management & SharePoint Operations

โ€ข File, tag, and organize documents in SharePoint according to established naming conventions and folder structures.

โ€ข Associate documents with appropriate entities, deals, clients, or projects to ensure proper linkage and retrievability.

โ€ข Apply metadata tags and document classifications consistently across all uploads.

โ€ข Maintain document version control and ensure obsolete files are archived appropriately.

โ€ข Support document retrieval requests from internal stakeholders.


Ticket Queue Management & Service Delivery

โ€ข Monitor and work assigned tickets from the data management queue in a timely manner.

โ€ข Meet established turnaround times and service level expectations for data requests.

โ€ข Communicate status updates and completion confirmations to requestors.

โ€ข Escalate exceptions, complex issues, or ambiguous requests to the Manager, Data Management.

โ€ข Document work completed and maintain accurate ticket records.


Data Quality & Compliance Support

โ€ข Perform routine data quality checks including duplicate detection, completeness reviews, and validation against source documents.

โ€ข Participate in periodic data audits and assist with data cleansing and correction initiatives.

โ€ข Support compliance tracking workflows by maintaining required documentation and audit trails.

โ€ข Assist with reporting readiness activities, ensuring data is accurate and complete for scheduled reports.

โ€ข Follow data handling and security protocols in accordance with company policies.

โ€ข Assist with special projects as needed.


Requirements:

Required Qualifications

  • High school diploma or equivalent required; Associate's or Bachelor's degree in Business or related field preferred.
  • 1-3 years of experience in data entry, data management, or administrative support roles.
  • Experience working with CRM systems (Microsoft Dynamics preferred) or similar database applications.
  • Familiarity with SharePoint or other document management systems.
  • Proficiency in Microsoft Office Suite (Excel, Outlook, Word).
  • Strong attention to detail and commitment to data accuracy.
  • Ability to follow documented procedures and meet deadlines consistently.
  • Strong organizational and time management skills.
  • Effective written and verbal communication skills.


Preferred Qualifications

  • Experience in the financial services industry (banking, insurance, investment management, or wealth advisory)
  • Working knowledge of Microsoft Dynamics 365 CRM
  • Experience with ticketing systems (ServiceNow, Jira, or similar)
  • Basic understanding of data quality principles and data governance concepts
  • Familiarity with compliance and regulatory documentation requirements
  • Experience supporting reporting or analytics functions.
