About the Role
Our executive team needs a true operational right-hand-someone who can step in, bring calm to the chaos, and build the behind-the-scenes systems that allow a growing business to thrive. This is far beyond a basic "task-ticker" position.
As our Online Business Manager - Virtual Assistant, you will be the operational backbone managing three distinct, active revenue pipelines: 1:1 Coaching, the Better Together Circle, and Group Coaching. Your main mission is to build, streamline, and maintain the backend infrastructure so all three streams run flawlessly without executive oversight on every detail. What You'll Be Doing
  • GoHighLevel System Architecture: Build, optimize, and oversee complex GoHighLevel (GHL) infrastructure-managing contact tags, automated campaigns, email drips, and pipeline workflows across all three coaching offers.
  • End-to-End Client Onboarding: Deliver a high-touch onboarding experience for new clients, managing intake forms, fillable PDFs, welcome email sequences, and platform access with care and precision.
  • Email Campaign Execution: Manage email marketing from start to finish-coordinating copy, technical setup, list segmentation, and scheduled deployment.
  • Social Inbox Management: Monitor and respond to incoming social DMs across Facebook, Instagram, and LinkedIn, ensuring every lead, inquiry, or client message receives a timely, thoughtful response.
  • Asset & Presentation Creation: Produce polished presentation decks and operational support materials using Canva and Google Workspace.
  • Visibility Coordination: Partner across the marketing team to align promotional pushes, amplify brand visibility, and ensure marketing strategy links directly into sales pipelines.
  • AI-Leveraged Execution: Actively integrate ChatGPT Pro into your daily workflow to draft copy, refine systems, solve operational problems, and move with higher leverage.
  • Proactive Gap Identification: Continuously audit day-to-day operations, spotting process bottlenecks or gaps and building preventative structures before problems hit client flow.
