Position Summary

The Staffing Coordinator plays a vital role in ensuring quality resident care by creating and maintaining nursing schedules, coordinating staff coverage, managing call-offs, and supporting compliance with staffing regulations. This position works closely with nursing leadership and HR to maintain efficient staffing operations.

Key Responsibilities

Scheduling & Staffing

  • Develop, post, and maintain daily, weekly, and monthly schedules for RNs, LPNs, and CNAs

  • Respond to call-offs, shift changes, and staffing shortages in real time

  • Coordinate with facility staff and staffing agencies to fill open shifts

  • Ensure adequate staffing coverage while maintaining compliance with state regulations and facility standards

Communication & Coordination

  • Communicate schedule changes and staffing needs promptly

  • Maintain and manage on-call staffing lists

  • Collaborate with the DON, ADON, and HR on staffing strategies

  • Handle employee scheduling requests professionally and fairly

Documentation & Reporting

  • Maintain accurate records of attendance, overtime, agency use, and staffing metrics

  • Track call-offs, no-shows, and attendance trends

  • Assist with payroll verification and timecard accuracy

  • Prepare staffing reports for audits, surveys, and internal review

Administrative Support

  • Coordinate orientation and onboarding schedules for new hires

  • Maintain employee contact information, credentials, and availability records

  • Support agency staffing coordination and compliance documentation

Qualifications
  • High School Diploma or GED required (Associate's or Bachelor's degree preferred)

  • Experience in healthcare scheduling or staffing coordination preferred, especially in long-term care or skilled nursing settings

  • Familiarity with scheduling and timekeeping systems such as Kronos, Paycom, Smartlinx, or OnShift

  • Strong organizational and time management skills

  • Excellent communication and problem-solving abilities

  • Ability to multitask in a fast-paced environment
