Job description

POSITION TITLE: Office Support III REPORTS TO: Transportation Director BEGINNING DATE: Open Until Filled

NATURE OF WORK:

Ensures the effective, efficient, and safe running of the office. Will be responsible for ensuring maximum productivity from office staff. Experienced in a wide range of administrative duties and able to work independently with little to no supervision. Must be flexible with duties and well organized.  Will be responsible for maintaining the accounts for the transportation department. 

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

  • Ability to quickly acquire knowledge of North Carolina Public School Laws related to transportation.
  • Ability to learn, interpret, and explain policies, regulations, and programs.
  • Ability to execute tasks without directive.
  • Ability to resolve problem situations in high demand situations.
  • Must possess good time management and organizational skills.
  • Ability to establish and maintain effective relationships with school staff and public.
  • Knowledge of accounting, data, and administrative practices and procedures.
  • Knowledge of business and management principles.
  • Ability to organize and prioritize tasks effectively.
  • Considerable knowledge of office practices and procedures.
  • Knowledge of computer systems and Microsoft Office.
  • Ability to exercise good judgment.

EDUCATION AND TRAINING:

  • Current valid NC Commercial Driver's License with P and S endorsements preferred; if not held, must obtain within six months of employment.
  • High school diploma and 2-5 years related clerical experience.
  • Associates Degree and prior accounting experience preferred.

TERM OF EMPLOYMENT:  12 months

SALARY:  Salary Grade 59

FLSA Status: Non-Exempt

PERFORMANCE RESPONSIBILITIES:

  1. Oversee office administration.
  2. Responsible for training new office staff (must be proficient in each job).
  3. Oversees and doublechecks paperwork from coordinators (timesheets and reports).
  4. Works closely with purchasing, payroll, and accounts payable.
  5. Submits timesheets for all garage staff.
  6. Manage purchase orders in accordance with all federal, state, and local regulations.
  7. Processes payment request on all invoices.
  8. Processes monthly reports on state, local, and driver's ed. budgets to director.
  9. Receives parts into inventory.
  10. Works closely with parts manager and shop foreman in yearly stockroom inventory.
  11. Compiles and submits required reports to DPI.
  12. Manages and orders all office supplies for garage staff and coordinators.
  13. Evaluate office staff performance yearly.
  14. Assists in the hiring of the office staff.
  15. Exercises tact and courtesy with staff, parents, and community.
  16. All other duties as may be assigned by supervisor.

PHYSICAL REQUIREMENTS:

  • Must be able to stand, sit, or walk for prolonged periods of time.
  • Ability to reach with hands and arms routinely.
  • Ability to bend, stoop, carry, push, or pull.
  • Ability to carry furniture such as tables and chairs, supplies, and materials
  • Must be able to lift up to 15 pounds routinely and 30 pounds occasionally.
  • Must be able to effectively communicate with staff and students visually and orally.
  • Must be able to drive to variety of school sites.
  • Must pass DOT Physical Requirements.
