Job description

Summary of Duties: Supervise the daily office support function for our Amarillo Grind Plant on South Washington Street. Position will perform accounts payable, accounts receivable, records, and other general office tasks. Position will supervise, train, and develop subordinate office clerks and administrative staff.
Duties and Responsibilities: (Other tasks may be assigned as necessary)
  • Assign and monitor clerical and administrative support responsibilities and tasks.
  • Train, coach, mentor, and develop subordinate office staff to maximize performance.
  • May design and implement filing and recordkeeping systems.
  • Ensures security, integrity and confidentiality of Company confidential sales and pricing information.
  • Ensures that office staff follows Company Code of Conduct / Ethics and other policies and procedures.
  • Continuously maximize and improve operational efficiencies for office support.
  • Prepare operational reports and schedules as requested by Company owners.
  • Monitor and maintain office supplies inventory and purchasing.
  • Handle customer inquiries, questions, and complaints.
  • May supervise the receptionist function for the Plant.
  • Work closely with operations management regarding information, reports, and production metrics.
  • Other related duties as assigned.

Knowledge, Skills, Abilities:
  • Must have good interpersonal skills and ability to deal with all levels of management and employees.
  • Must respect the rights of employees and maintain internal confidentiality.
  • Ability to collect data, complete reports, and help respond to Sr. Management inquires.
  • Must be able to lift up to 60 lbs.
  • Must be able to ascend and descend stairs and ladders.
  • Must be able to work required shift schedules Monday - Sunday, and required overtime.
  • Must have knowledge of office recordkeeping systems and processes.
  • Must have knowledge of office software systems and office equipment such as copiers, faxes, and printers.

Education and Experience Requirements:
  • Bachelor's degree preferred.
  • Requires five years of general clerical and office management experience.
  • Requires knowledge of accounts payable, accounts receivable, office software, office equipment, and recordkeeping systems.
