Job description

A well-established private investment management firm is seeking an experienced Office Manager to oversee the daily operations of its Naples office while providing executive support to senior leadership and ensuring a first-class experience for clients and visitors.


This position combines executive administration, office management, team coordination, facilities oversight, and event planning within a professional financial services environment.


Responsibilities

  • Oversee the day-to-day operations of a professional office.
  • Provide executive administrative support, including complex calendar management, travel coordination, expense reporting, and correspondence.
  • Manage office communications and serve as the primary point of contact for visitors, vendors, and building management.
  • Supervise and support a team of administrative professionals.
  • Coordinate meetings, client events, conferences, and marketing initiatives.
  • Partner with Human Resources, Information Technology, Facilities, and Marketing to support office operations.
  • Manage office vendors, supplies, maintenance, and facility-related needs.
  • Maintain accurate contact information and assist with CRM administration.
  • Prepare presentation materials and coordinate meeting logistics.
  • Maintain a professional, organized, and client-ready office environment.


Qualifications

  • Bachelor's degree preferred.
  • 2–5+ years of experience as an Office Manager, Executive Assistant, or Senior Administrative Professional.
  • Experience supporting executive leadership in a professional office environment.
  • Previous responsibility for office operations, vendor management, or facilities coordination.
  • Strong organizational, multitasking, and problem-solving skills.
