Office Operations Coordinator

Position Summary

Rx Return Services is seeking an organized, dependable, and service-oriented Office Operations Coordinator to support the day-to-day operations of our office.


This position serves as a central resource for employees and helps keep the workplace organized, supplied, and running smoothly. Responsibilities include general office administration, supplies and inventory, vendor coordination, employee and visitor support, office events, facilities needs, and other routine operational activities.


The Office Operations Coordinator will also provide limited support to Sales and Marketing by helping route incoming inquiries and coordinating materials, supplies, and event-related logistics.


The ideal candidate is proactive, organized, comfortable working with different departments, and able to manage multiple responsibilities while maintaining strong attention to detail and follow-through.


Core Responsibilities


Office Coordination

  • Support the day-to-day organization and operation of the office.
  • Maintain office, kitchen, shipping, and other commonly used supplies and coordinate replenishment as needed.
  • Help maintain organized and professional common areas, conference rooms, and employee workspaces.
  • Coordinate routine office vendors, deliveries, maintenance requests, and facility needs.
  • Receive and distribute mail, packages, supplies, and other office deliveries.
  • Support office purchasing and maintain basic inventory and equipment records.
  • Assist with employee onboarding and offboarding logistics, including workspaces, equipment, supplies, and office access.
  • Serve as a first point of contact for routine employee office-support questions and route specialized requests to the appropriate department.
  • Answer and route incoming calls and assist visitors as needed.
  • Support internal meetings, employee celebrations, lunches, and other company activities.
  • Assist with office organization, equipment, facilities, and other operational improvement projects.
  • Help track requests and follow up with employees, vendors, or internal departments to ensure outstanding items are completed.


Sales Operations Support

  • Help screen and route incoming customer calls to the appropriate Sales or internal resource.
  • Provide basic customer assistance with routine service-navigation needs and route specialized questions to the appropriate department.
  • Maintain and coordinate approved supplies, shipping materials, promotional items, and other resources used by Sales and Marketing.
  • Prepare and coordinate approved materials or supply shipments for outside Sales representatives.
  • Provide logistical support to Marketing for conferences, trade shows, conventions, and other company events.
  • Assist with organizing, packing, shipping, receiving, and storing event materials, promotional items, displays, and supplies.
  • Coordinate with Sales and Marketing regarding upcoming material, inventory, shipping, or event-support needs.
  • Sales and Marketing support is a secondary function of the position. The primary responsibility of the Office Operations Coordinator is maintaining effective day-to-day office operations.


Qualifications

  • High school diploma or equivalent required; additional education in business administration, office management, operations, or a related field is preferred.
  • Previous experience in office coordination, administration, office management, operations support, or a similar role preferred.
  • Strong organizational skills and attention to detail.
  • Strong written, verbal, and interpersonal communication skills.
  • Ability to manage multiple responsibilities and changing priorities.
  • Strong follow-through and practical problem-solving skills.
  • Proficiency with Microsoft Office and general business software. Experience with CRM software, preferred.
  • Comfortable working with employees, customers, vendors, and company leadership.
  • Ability to work independently while collaborating across departments.
  • Experience coordinating office supplies, vendors, inventory, events, or workplace services is a plus.
  • Ability to regularly lift, carry, move, and organize office supplies, packages, equipment, and event materials weighing up to 35 pounds.
