Job description

 We are seeking a highly organized, professional, and dependable Administrative Assistant / Secretary to provide clerical and administrative support in a medical office environment. The ideal candidate must possess excellent communication, organizational, and multitasking skills, with the ability to manage a high volume of administrative tasks efficiently. Medical experience is not required.
Key Responsibilities:
  •  Answer and manage a high volume of incoming phone calls with professionalism, courtesy, and proper business etiquette 
  •  Handle a large volume of incoming and outgoing emails in a timely, organized, and professional manner 
  •  Draft, proofread, and respond to professional email correspondence with strong written communication skills 
  •  Schedule appointments, meetings, and calendar events efficiently 
  •  Maintain organized filing systems, both electronic and physical 
  •  Perform accurate data entry and recordkeeping 
  •  Prepare letters, reports, spreadsheets, and office documents 
  •  Scan, copy, file, and manage general clerical tasks 
  •  Coordinate with internal staff regarding scheduling, follow-ups, and administrative matters 
  •  Maintain confidentiality and professionalism at all times 
  •  Perform additional administrative duties as needed in support of office operations 
Required Qualifications:
  •  Prior administrative, clerical, receptionist, or office support experience required 
  • Proficiency in Microsoft Excel and Microsoft 365 (Outlook, Word, Excel, Teams) 
  • Strong written communication skills with the ability to draft professional emails independently are 
  • Ability to handle a large volume of email correspondence and incoming phone calls
