Job description

Position Overview

The Business Office Manager works closely with the facility team and the regional Accounts Receivables department to ensure accurate billing, timely collections, and strong financial operations for the facility. This position requires extensive knowledge of Public Aide, Medicaid, Medicare, and managed care billing within a Skilled Nursing Facility (SNF).

This role is highly dynamic—one moment you may be managing the resident trust fund, the next you may be setting up family payment plans, and shortly after assisting a resident or family with the Medicaid application process. No two days are the same, and the Business Office plays a central role in keeping the facility running smoothly.

Key Responsibilities
  • Work collaboratively with the facility and regional AR teams to complete billing and back-end collections for:

    • Public Aide

    • Medicaid

    • Medicare

    • Managed Care

    • Other third-party payers

  • Manage resident trust fund accounts, ensuring accurate tracking, balancing, and compliance.

  • Establish payment schedules for residents and/or families as needed.

  • Assist residents/families with Medicaid applications and required documentation.

  • Oversee and maintain business office systems and processes related to:

    • Billing & collections (A/R)

    • Accounts payable (A/P)

    • Liability notices

    • General ledger functions

    • Business and payroll taxes

    • Purchase orders

  • Ensure timely submission of claims and follow-up on outstanding receivables.

  • Maintain accurate and compliant financial records, reports, and audits.

  • Qualifications

    • Minimum of three (3) years of bookkeeping or Business Office Manager experience in a Skilled Nursing Facility (SNF), specifically focused on collections and outstanding receivables.

    • Required: Demonstrated experience with Public Aide/Medicaid and Medicare billing & collections.

    • Experience with PointClickCare (PCC) billing system preferred.

    • Strong working knowledge of healthcare billing regulations, payer guidelines, and SNF reimbursement processes.

    • Excellent organizational, analytical, and communication skills.

    • Ability to manage multiple priorities in a fast-paced environment.

    • Strong customer service skills when working with residents, families, and staff.
