We are seeking a professional and highly organized Legal Receptionist to be the welcoming face and voice at our client's downtown office. In this pivotal role, you will ensure smooth office operations by managing receptionist responsibilities, supporting administrative functions, and maintaining client confidentiality. Key Responsibilities
  • Greet, welcome, and direct visitors in a professional and friendly manner
  • Answer, screen, and forward incoming phone calls
  • Notify staff members of visitor arrivals
  • Maintain the reception area to ensure a clean, safe, and organized environment
  • Manage building access by following security procedures, maintaining visitor logs, and issuing badges
  • Maintain and update employee and department directories
  • Respond to inquiries or direct them to the appropriate personnel
  • Operate and manage the telecommunications system
  • Document and communicate actions, irregularities, and ongoing needs to support team continuity
  • Provide administrative support to the Office Manager as needed
  • Create visitor reports and manage building access requests
  • Maintain security badge audit reports and coordinate badge requests with Facilities Management/Office Administration (FM/DOA)
  • Coordinate visitor meetings in collaboration with Executive Services and FM/DOA
  • Maintain logs and documentation for incoming and outgoing correspondence
  • Support team objectives by completing additional tasks as assigned
  • Demonstrates a positive, solution-oriented mindset and takes initiative to drive tasks forward.

Qualifications
  • High school diploma or equivalent required
  • Prior experience in a business professional setting as a receptionist, front desk associate, or hospitality role strongly preferred
  • Strong verbal and written communication skills
  • Excellent organizational and multitasking abilities
  • Professional demeanor with strong customer service skills
  • Proficiency in basic office software and phone systems
  • Ability to handle sensitive information with discretion
  • Demonstrates reliability and a strong commitment to regular attendance during standard business hours (8:00 AM-5:00 PM, Monday-Friday), while maintaining flexibility to meet client and business needs.

The Compensation range for this role is up to 23.00 USD per hour and may be eligible for an annual bonus. Actual compensation within that range will be dependent upon the individual's location, skills, experience and qualifications.
