Executive Assistant

ABOUT THE ROLE

The Boulder JCC is seeking a talented and dedicated Executive Assistant to join our team. This dynamic role supports and manages the daily tasks, projects, and schedule for the Boulder JCC's Executive Director, while also serving as the primary liaison between the Executive Director and the broader organization. The Executive Assistant plays a critical role in supporting the Boulder JCC's Senior Leadership Team โ€” the team that helps guide and lead our more than 100 staff members โ€” and serves as a key connector between the Board of Directors and the Boulder JCC, facilitating effective governance and Board communications.

KEY RESPONSIBILITIES

  • Executive Support
    • Serve as the primary point of contact and public-facing representative for the Executive Director, managing a high volume of phone, email, and correspondence with professionalism and discretion
    • Proactively manage and prioritize the Executive Director's calendar, ensuring scheduling reflects organizational priorities and that the Executive Director is always prepared and well-positioned for what's ahead
    • Anticipate the Executive Director's needs before they arise โ€” tracking tasks, deadlines, and follow-ups to ensure nothing falls through the cracks
    • Arrange all travel logistics for the Executive Director, including itineraries, accommodations, and coordination of related materials
    • Organize all aspects of Executive Director meetings โ€” from room bookings and setup to materials preparation, catering, and note-taking
    • Draft, edit, and manage correspondence, presentations, and reports on behalf of the Executive Director, ensuring communications are polished and on-brand
    • Attend meetings as a representative of the Executive Director, capturing key decisions and driving follow-up on action items
    • Support donor stewardship efforts by coordinating meeting scheduling, fulfilling requests, and managing relationships related to the Executive Director's donor portfolio
    • Provide structural, planning, and logistical support for cultivation and civic events in partnership with the Executive Director, Board, and Development Team
    • Support the Senior Leadership Team with calendar management, meeting logistics, note-taking, and task follow-up, while managing supplies and anticipating operational needs
  • Board of Directors Support
    • Serve as the primary liaison between the Board of Directors and the organization, facilitating seamless communication, relationship-building, and connectivity between Board members and staff
    • Partner with the Executive Director, Board Chair, and Executive Committee to develop Board reports, meeting agendas, and materials; coordinate all logistics for Board and Committee meetings
    • Attend Board meetings, take minutes, and coordinate filing with the Board Secretary; maintain, update, and organize all Board documents and archives
    • Support Board Committee work and initiatives across the organization, compiling and presenting performance metrics and incorporating them into Board meeting materials
    • Maintain a thorough understanding of Board policies, guidelines, and Bylaws to ensure consistent, compliant, and effective governance practices

QUALIFICATIONS

  • 5+ years of experience preferred in executive support, with relevant non-profit experience strongly valued
  • Strong experience using Google applications, Microsoft Office Suite, file sharing platforms such as Google Drive, and project management tools like Asana
  • Excellent written and oral communication skills
  • Excellent interpersonal skills with the ability to work collaboratively with internal and external stakeholders
  • Good judgment and a strong inclination to be proactive
  • Resourceful and creative in problem-solving
  • Ability to interact with senior-level executives and sophisticated donors
  • Ability to manage projects, organize and complete complex tasks, prioritize multiple assignments, and deliver on a timely basis
  • Ability to thrive and succeed in a fast-paced environment

COMPENSATION

This is a full-time, non-exempt hourly position with a pay range of $32.34 โ€“ $37.59 per hour, commensurate with experience. Employee benefits currently include health insurance (medical, dental, and vision) with access to a health savings account (HSA) with generous employer contributions, a 403(b) retirement savings plan with immediate vesting and an employer match up to 4%, voluntarydisability, life, and accident insurance, substantial staff discounts, as well as plentiful time off (vacation, sick, and holidays including a full week during Thanksgiving).
