Location: This is a full-time, on-site role in downtown Bethesda, MD. You will work directly alongside the Estates & Trusts team in the office each day, with easy Metro access and covered parking.


Note: A Notary Public commission in Maryland or Virginia is required for this role; DC notary is a strong plus. Prior experience in estates, trusts, probate, or fiduciary administration is strongly preferred. Candidates must be comfortable managing multiple active files with competing deadlines.

Job Description

  • Prepare, copy, scan, and mail court filings and service packets; track and maintain proof of service
  • Draft and send routine correspondence to clients, heirs, courts, and financial institutions
  • Prepare exhibits and supplemental materials for probate, trust, and tax filings; e-file and submit deeds via SimpliFile as needed
  • Scan, log, and organize all incoming Estates & Trusts mail, including original court documents and checks
  • Maintain electronic files including historical estate documents, tax returns, and pre-death invoices
  • Manage the Estates & Trusts calendar, tracking deadlines, hearings, and signings
  • Schedule client meetings and coordinate with CPAs, financial advisors, and other professionals
  • Assist with fiduciary administration by reviewing expenses, preparing checks, monitoring account balances, and reconciling accounts
  • Maintain the Estates & Trusts matter list and professional referral database
  • Serve as notary for client signings (MD or VA required; DC preferred)
  • Make bank deposits and travel to DC Superior Court Probate Division as needed


Qualifications

  • Prior experience in estates, trusts, probate, or fiduciary administration strongly preferred
  • Notary Public in Maryland or Virginia required; DC notary a plus
  • Exceptional organizational skills and attention to detail
  • Strong written communication skills
  • Familiarity with court filings and document management systems
  • Ability to manage multiple active files and deadlines simultaneously
  • Comfort with both substantive paralegal tasks and administrative support duties
