Job description

The Filing Clerk maintains the physical and electronic records across the Accounts Payable, Accounts Receivable, and Commercial Real Estate functions. Working across multiple departments, this individual maintains filing systems, manages year-end records boxing and retention, and supports special projects, all while safeguarding confidential company information.

Key Responsibilities

  • Manage all year-end file boxing, indexing, storage, and records retention activities.
  • Create and maintain filing systems for Accounts Payable, Accounts Receivable, and Commercial Real Estate records.
  • Prepare new files and folders as needed.
  • Assist with audit-related document retrieval and record management.
  • Perform data entry and research projects as assigned.
  • Support departmental initiatives and special projects.
  • Maintain records in accordance with the company's retention schedule and confidentiality requirements.

Qualifications

  • Works independently with minimal supervision while maintaining accuracy and attention to detail.
  • Demonstrates a positive attitude, strong work ethic, and eagerness to learn.
  • Effective team player who works collaboratively with all departments throughout the organization.
  • Adaptable to the varying needs and priorities of different departments.
  • Willing to assist others and provide administrative support wherever needed.
  • Maintains the highest level of professionalism, discretion, and confidentiality.
  • Adept at maintaining confidential information. Ability to handle multiple assignments while meeting deadlines.
  • Strong organizational and communication skills.
  • Comfortable using Microsoft Excel and Microsoft Word for data entry and basic document tasks.
  • Has a minimum of two years of experience or an equivalent combination of education and office experience in an administrative, accounting, records management, or related office environment.
  • High school diploma or GED (some college preferred).
  • Familiarity with records retention practices and document or file management systems is a plus.

Physical Requirements

  • Able to lift and carry file boxes weighing up to 15 pounds, occasionally more with assistance.
  • Able to bend, reach, stoop, and stand for extended periods during file boxing, retrieval, and storage.
  • Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions of the role.

Compensation & Benefits

  • $18.00 to $21.00 per hour (commensurate with experience)
