Time & Labor Systems Specialist

Job Summary

The Time and Labor Systems Specialist ensures accurate and compliant employee time tracking to support timely payroll processing. This role reviews and audits weekly timesheets, analyzes exception reports, and collaborates with employees, managers, HR, and Payroll to resolve discrepancies. The position also provides guidance to employees and managers on timekeeping procedures. Success in this role requires strong attention to detail, effective communication, and the ability to manage sensitive information.

Essential FunctionsKey Duties/Responsibilities/Accountabilities
  • Processes, reviews, and audits weekly employee timesheets within the timekeeping system to ensure completeness, policy compliance, and payroll readiness 
  • Runs and analyzes timekeeping exception reports and partner with employees, supervisors, HR, and Payroll to resolve discrepancies 
  • Accurately enter and maintain contingent worker data in the timekeeping system
  • Performs timekeeping system imports, exports, and reconciliations to support payroll processing and error resolution 
  • Assists with system updates, testing, and periodic audits as needed
  • Provides guidance or basic training to employees and managers on timekeeping procedures

Minimum Qualifications
  • High school diploma or equivalent
  • Excellent organizational skills with strong attention to detail
  • Ability to interpret policies, reports, and complex process documentation
  • Effective communication skills
  • Ability to handle sensitive and confidential information
  • Basic Microsoft Office experience
Preferred QualificationsAbove requirements and the following:
  • 2 years of experience in timekeeping, payroll administration, or HR operations
  • Hands-on experience with Deltek Time & Expense, Costpoint, or comparable enterprise timekeeping/payroll systems
  • Strong understanding of exempt vs. non-exempt rules, PTO usage, unpaid time, and payroll compliance
  • Experience supporting payroll imports/exports and audit documentation
  • Familiarity with government regulated environments (e.g., SCA, compliance audits)
  • Advanced Excel skills for report review and data validation

  • Requires prolonged sitting and telephone use
