Description

Vamonos IT, a leading provider of technology solutions and digital transformation services for organizations of all sizes, is seeking a talented and dynamic Microsoft 365 Technical Writer/Communications Specialist to join our growing team. This role is integral to the success of our projects and client engagement initiatives, ensuring clear, effective, and engaging communication that empowers both our staff and our clients to make the most of the Microsoft 365 platform.


The Microsoft 365 Technical Writer/Communications Specialist will be responsible for producing a variety of high-quality technical and user documentation, training materials, and internal/external communications related to Microsoft 365 products and services. This individual will work closely with IT professionals, project managers, and product specialists to translate complex technical concepts into clear, concise, and accessible content for diverse audiences. The successful candidate will play a key role in enhancing user adoption, streamlining business processes, and supporting Vamonos IT’s commitment to excellence in service delivery.


Responsibilities

  • Develop, write, and edit comprehensive documentation for Microsoft 365 applications including but not limited to SharePoint, Teams, Outlook, OneDrive, Power Platform, and Exchange Online.
  • Create step-by-step guides, FAQs, release notes, training decks, and quick reference materials tailored to both technical and non-technical users.
  • Collaborate with subject matter experts (SMEs) to gather requirements, clarify technical details, and ensure accuracy in all client-facing and internal communications.
  • Design and implement communication strategies to inform and educate clients and employees about Microsoft 365 updates, new features, and best practices.
  • Lead and facilitate virtual and in-person training sessions, webinars, and workshops to promote Microsoft 365 adoption and maximize user engagement.
  • Maintain and update a repository of documentation and knowledge articles to support ongoing learning and troubleshooting.
  • Work with marketing and sales teams to produce collateral and presentations that highlight the value proposition of Microsoft 365 solutions offered by Vamonos IT.
  • Support onboarding processes for new clients and employees by providing clear and effective instructional materials.
  • Monitor feedback from users to continuously improve documentation quality and relevance.
  • Ensure all written materials adhere to Vamonos IT’s branding guidelines, tone, and style standards.
  • Stay current with Microsoft 365 developments, trends, and updates, proactively incorporating changes into documentation and communications initiatives.
  • Support internal Vamonos IT initiatives and operations as needed.
  • Support the Vamonos IT business development initiatives and team.
  • Engage/complete continuing education/certification processes as prescribed by customer and/or Vamonos IT.


Required Qualifications

  • Bachelor’s degree in Communications, Technical Writing, Information Technology, Computer Science, or a related field.
  • Minimum of 3 years of experience in technical writing or communications roles, preferably within an IT or technology-focused environment.
  • Strong working knowledge of Microsoft 365 suite, including practical experience with SharePoint, Teams, Outlook, and other core applications.
  • Proven ability to produce clear, organized, and user-focused documentation for varied audiences.
  • Exceptional written and verbal communication skills in English, with a keen eye for detail and consistency.
  • Experience in developing and facilitating training programs and workshops.
  • Proficiency with documentation and collaboration tools such as Microsoft Word, PowerPoint, SharePoint, and Teams.
  • Ability to quickly synthesize complex information and present it in an easily digestible format.
  • Strong project management and organizational skills, with the ability to manage multiple tasks and deadlines simultaneously.
  • Excellent interpersonal skills and ability to collaborate cross-functionally with technical and non-technical teams.


Preferred Qualifications 

  • Professional certification in Microsoft 365, Technical Communication, or related area.
  • Experience working in a client-facing capacity, ideally within a technology consulting or managed services environment.
  • Familiarity with learning management systems (LMS) and e-learning development tools.
  • Experience with graphic design and multimedia content creation to enhance visual appeal of documentation and presentations.
  • Knowledge of accessibility standards and best practices for technical documentation.
  • Multilingual communication skills considered an asset.
