About Crystal Cove Conservancy
Crystal Cove Conservancy is the nonprofit dedicated to the protection, preservation and sustainability of Crystal Cove State Park, located on the traditional and unceded lands of the Acjachemen and Tongva Tribal Nations. 
Crystal Cove Conservancy and California State Parks have worked together to develop innovative educational programs that engage K-12 students and community members, preserve historic beach cottages, conserve miles of precious California coastline, steward acres of threatened habitat and promote access for historically-excluded groups.
Position Summary
The Events Coordinator plays a key role in Crystal Cove Conservancy’s fundraising events, donor and member experiences, retail events, Board meetings and community engagement activities. Working closely with the Advancement team, this position manages the full arc of event planning, from logistics and vendor coordination through on-site execution and post-event wrap-up. The Events Coordinator also oversees event inventory, supplies and operational resources. This position reports directly to the Sr. Director of Advancement.
Schedule
This is a part-time position that is estimated to work between 20-25 hours per week. The schedule for this position will vary depending on upcoming events and will include work on the weekends and evenings. 
A full-time schedule is available for candidates who are interested in providing administrative support to the CEO in addition to event coordination.
Compensation & Benefits
The compensation for this position is $28.00 - $30.00 per hour. This position is also eligible for paid sick leave.  
Essential Position Responsibilities 

  • Coordinate the planning and execution of events from initial concept through post-event wrap-up. 
  • Manage event logistics, including timelines, vendor coordination, registrations, budgets, event materials and on-site operations. 
  • Partner with internal staff, California State Parks, Retail Operations, vendors, volunteers, artists, and community partners to successfully execute events. 
  • Support a variety of events, including fundraising events, donor and member experiences, retail events, Board meetings, and community engagement programs. 
  • Coordinate hospitality and logistical preparations for Board meetings, donor events, member experiences, and other organizational gatherings. 
  • Prepare meeting and event spaces, refreshments, VIP amenities, gift baskets, and hospitality materials. 
  • Deliver exceptional customer service. 
  • Maintain event inventory, storage areas, equipment, décor, signage, and hospitality supplies, ensuring materials are organized and event-ready. 
  • Coordinate purchasing and replenishment of event and hospitality supplies. 
  • Maintain event planning resources, vendor information, operational procedures, and event documentation to support efficient event execution. 
  • Assist with post-event evaluations, budget reconciliation and continuous improvement of event processes. 
  • Additional responsibilities as necessary.

Qualifications 

  • 1-2 years of related experience in event planning, hospitality, nonprofit events, or a similar field. 
  • Outstanding customer service and hospitality mindset, with strong interpersonal skills and professionalism. 
  • Exceptional organizational and project management skills, with the ability to manage multiple priorities and competing deadlines. 
  • Strong written and verbal communication skills. 
  • Ability to anticipate needs, solve problems, and remain calm under pressure. 
  • Positive, collaborative, flexible, and solutions-oriented approach to work. 
  • Proficiency in Microsoft Office Suite and ability to easily learn new software. 
  • Experience working with donors, volunteers, community organizations, or nonprofit organizations preferred. 
  • Experience with Canva, Asana, Microsoft Teams, event registration software, and Raiser's Edge NXT preferred.
