Job Description:

The incumbent in this role collaborates with all Wertheim UF Scripps departments and a variety of internal and external stakeholders across the University of Florida. This position plays a key role in monitoring financial activity and providing reports, updates, and detailed fiscal insights to support departmental decision-making. The role also supports fiscal operations within the Finance Shared Service Center (SSC).

Responsibilities and Duties: 

  • Responsible for a wide range of fiscal operations, including journal entries, expense transfers, purchase orders, accounts payable, PCard reconciliation, and check deposits.
  • Serves as the primary point of contact for faculty and staff on sensitive fiscal matters.
  • Identifies and recommends opportunities to improve efficiency within the Finance SSC.
  • Supports the Assistant Director of Fiscal Operations with labor distribution and the preparation of core, direct/indirect, cash, and quarterly reports.
  • Develops Excel reports for review and will perform financial analysis.
  • Prepares, reviews, audits, and adjusts accounting entries as needed, including the fiscal year-end. 
  • Performs monthly reconciliation of financial data and PeopleSoft reports to ensure accuracy and completeness.
  • Reviews and adjusts accounting entries as necessary.
  • Performs financial planning and budgeting activities to support the Finance SSC.
  • Develops and generates data, analyzes budgets, forecasts, and financial reports to ensure financial sustainability within the Finance SSC. 
  • Reviews trends and variances to identify concerns and provide recommendations that support fiscal responsibility and operational efficiency.
  • Assists with the preparation and ongoing review of shared service core rates to ensure appropriateness, consistency, and compliance.
  • Serve as a backup to the Business Admin Specialist II related to travel, iLabs invoicing, and the management of the University P-cards
  • Performs additional duties as assigned.

Commensurate with experience. 

Required Qualifications:

Bachelor's degree in an appropriate area and two years of relevant experience.

Preferred:
  • 2 years of finance/accounting experience is preferred.  
  • Knowledge of operations management.
  • Possesses the ability to think analytically and troubleshoot independently.
  • Ability to effectively communicate in a professional, diplomatic, empathetic, and tactful manner using both written and verbal means.
  • Highly motivated team-player with the ability to develop and maintain collaborative relationships with all levels within and external to the University.
  • Ability to plan, schedule, and organize tasks related to the job to achieve goals within or ahead of established time frames.
  • Able to be flexible and supportive, react swiftly to, and able to, positively and proactively assimilate change in a rapid growth environment.
  • Ability to personally provide a high level of interactive service to others, building relationships and addressing identified needs.
  • Proven skills in identifying issues, troubleshooting, developing creative solutions, and following through with implementation.
  • Proficient in Microsoft Office Suite with a high level of knowledge using Excel. 
  • Ability to interact with administration, department heads, staff, and the public in a professional manner.
