Position Overview
The Logistics Coordinator plays a critical role in supporting the daily execution of delivery and logistics operations. While routing is handled by dispatch, this position serves as the central point of coordination for all other logistics-related activities, ensuring that teams in the field, warehouse, and office are aligned and supported.
This role is responsible for triaging delivery issues, supporting field teams with documentation and communication, coordinating with third-party partners, and maintaining accurate logistics records. The Logistics Coordinator works closely with Operations, Customer Experience, Design, and Warehouse teams to resolve issues quickly and keep projects moving forward.
By acting as a control point between dispatch, field execution, and internal stakeholders, the Logistics Coordinator helps maintain service quality, operational consistency, and compliance across all logistics functions.
This position offers an hourly rate of $22-$26, commensurate with experience
Key Responsibilities
Logistics Coordination & Issue Triage
  • Serve as the primary in-house logistics point of contact for non-routing related matters
  • Triage delivery and retrieval issues in real time (missed windows, damages, access issues, crew constraints) and determine next steps
  • Partner with Operations, Customer Experience, and Design to resolve field issues quickly and minimize downstream impact
  • Escalate critical issues to leadership with clear context, documentation, and recommended options
Field Team & Driver Support
  • Provide day-of and next-day support to delivery teams for job clarity, documentation, and issue resolution
  • Process and review Bills of Lading (BOLs), delivery receipts, and required driver paperwork
  • Ensure all logistics documentation is completed accurately and submitted on time
  • Support DOT-related documentation collection and coordination as required
Dispatch Coordination
  • Vet routing information for accuracy, feasibility, and completeness prior to execution
  • Ensure dispatch has correct job details, load information, access notes, and special handling requirements
  • Act as an internal quality check between Operations, Warehouse, and Dispatch
  • Communicate updates, corrections, or exceptions to dispatch in real time
3PL & Partner Coordination
  • Assist with identifying and sourcing third-party logistics (3PL) partners based on operational needs
  • Support onboarding and setup of approved 3PL partners by collecting documentation, confirming availability, and aligning on scope
  • Coordinate day-to-day communication with approved 3PL partners
  • Track performance issues, service gaps, or cost concerns and escalate findings to the Logistics Manager for review and approval
  • Support issue resolution by gathering facts, timelines, and documentation related to 3PL performance
  • Ensure 3PL partners follow company documentation, safety, and communication standards
Recruiting & Staffing Support
  • Support recruiting efforts for logistics and delivery roles in partnership with HR and Operations
  • Coordinate interviews, onboarding logistics, and start-date readiness for field staff
  • Assist with staffing coverage planning to align labor availability with operational demand
Process & Documentation Support
  • Maintain logistics-related workflows, checklists, and documentation standards
  • Identify process gaps or recurring breakdowns and escalate improvement opportunities
  • Partner with Operations and Continuous Improvement teams to support process updates
Cross-Functional Communication
  • Act as a central point of communication between Logistics, Warehouse, Design, Sales, Customer Experience, and external partners
  • Ensure internal stakeholders have visibility into delivery risks, constraints, and execution status
  • Support leadership with summaries, reporting, and operational insights
Compliance & Risk Awareness
  • Support adherence to DOT and regulatory requirements through documentation and coordination
  • Flag potential compliance risks related to drivers, documentation, or field execution
  • Assist with safety incident reporting and follow-up coordination

Requirements
  • 2+ years of experience in logistics and dispatch administration
  • Strong proficiency in Microsoft Excel, Google Workspace, and logistics systems
  • Excellent organizational and communication skills
  • Ability to manage priorities in a fast-paced environment
  • Strong attention to detail and process follow-through
  • Spanish language proficiency is a plus
  • Onsite availability required at one of Vesta's operational facilities
