Position Summary

We are seeking a detail-oriented and organized Project Employee, Grants Coordinator to support the execution of the Foundation's grantmaking activities. This role will ensure the efficiency and transparency of our grantmaking processes while aligning with the NBA Foundation's mission and values.
The Project Employee, Grants Coordinator will provide administrative and programmatic support to the Head of Operations and the broader Foundation team. This role plays a critical part supporting grant administration, maintaining compliance, and enhancing overall grantmaking processes. The ideal candidate is highly organized, proactive, and capable of thriving in a fast-paced environment while working collaboratively with internal and external stakeholders.

This is a temporary position with an expected duration not to exceed (10) months.

Major Responsibilities

  • Schedule and coordinate grantee check-ins, mid-year reporting calls, and prospective grantee meetings

  • Conduct first-tier due diligence reviews of budgets, 990 financial statements, and progress reports to ensure adherence to Foundation policies.

  • Liaise with grantees to collect required documents, assist with vendor setup and execute grant agreements.

  • Manage grant payments efficiently by ensuring timeliness, accuracy, and proper tracking while maintaining organized and accessible documentation, approvals, and communications.

  • Work with internal teams and auditors on select grantee audits to ensure compliance and resolution.

  • Provide technical assistance and support to grantees on grant-related issues, including use of the grants management system (Fluxx).

  • Perform maintenance to ensure accurate grant records, reports, and documents within the grants management system.

  • Monitor and respond to inquiries received through the NBA Foundation general inquiry email.

  • Track grant deadlines, reporting requirements, and modifications (e.g., changes to budgets, dates, or payment terms).

  • Assist with preparing, editing and data collection for NBA Foundation board meeting presentations, progress reports, and annual reports.

  • Take detailed notes and document key discussions during meetings with internal and external stakeholders.

  • Support planning for grantee learning community, site visits, and working sessions.

  • Assist with NBA Foundation signature programming, including event management tasks

Required Education/Professional Experience

  • 3-5 years of experience in administrative roles within nonprofits, education, philanthropy, or government.

  • Experience with grants management systems (preferably Fluxx) or donor management platforms.

Required Skills/Knowledge Attributes

  • Strong organizational skills with the ability to manage multiple projects and deadlines.

  • Excellent analytical, writing, and communication skills with strong attention to detail.

  • Knowledge of grantmaking processes and nonprofit financial structures.

  • Ability to work both independently and collaboratively in a fast-paced environment.

  • Proficiency in Microsoft Office (Excel, PowerPoint, Word); project management software is a plus.

  • Discretion in handling confidential and sensitive information.

  • Commitment to the NBA Foundation's mission and values.

Salary Range:

$3,076.92 - $3,461.54/biweekly
