Role Summary
The PMO Enablement Specialist strengthens the IT PMO by coordinating PM-facing programs, supporting PM community development, organizing Continuous Improvement Advisory Council (CIAC) activities, maintaining PMO resource accessibility, and improving PM navigation and experience. This role centralizes lessons learned, publishes PMO insights, coordinates onboarding logistics, maintains PMO cadence and calendars, and supports small internal PMO improvement projects.
The position enhances PMO cohesion by enabling communication flow, ensuring consistency across PMO events, celebrating PMO wins, maintaining PM-facing reference maps, and supporting leaders with structured operational coordination. This role helps create a clear, organized, and connected PM experience without overlapping lifecycle, digital tooling, Agile practice, or training responsibilities owned by other PMO roles.
Key Responsibilities
PM Enablement & Community Support
• Maintain PM-facing communication channels including Teams, SharePoint, and PMO update sites.
• Publish PMO communications including template updates, lifecycle notices, CoP announcements, and event information.
• Coordinate PMO Community of Practice (CoP) including scheduling, agendas, materials, notes, and follow-up tracking.
• Gather and synthesize PM feedback from CoP, onboarding, CIAC, and office hours to identify recurring themes.
• Ensure PM-facing content produced by Framework, Agile, Digital Tools, Training, and OCM is well-organized and accessible.
Continuous Improvement & CIAC Coordination
• Coordinate CIAC schedules, agendas, materials, facilitation logistics, and follow-up actions.
• Maintain the CIAC improvement backlog, ensuring ideas and proposals are logged and prepared for discussion.
• Track CIAC decisions, progress, and outcomes, preparing updates for PM-facing channels.
• Align CIAC cadence with PMO communication and improvement rhythms.
PMO Insights, Lessons Learned & Communications
• Centralize PMO lessons learned from CIAC, CoP, office hours, PM interactions, and project reflections.
• Maintain an accessible repository of PMO lessons learned.
• Publish recurring "PMO Insights & Lessons Learned" summaries capturing themes and improvement opportunities.
• Capture and publish recurring questions raised during PMO Open Office Hours as "Top Questions This Month."
• Celebrate PMO wins, CIAC improvements, PM successes, and transformation achievements through PM-facing highlights.
Onboarding & PM Navigation Support
• Coordinate onboarding logistics for new PM staff to ensure structure, consistency, and clarity.
• Provide PMs organized access to PMO resources, guides, calendars, role maps, and navigation materials.
• Schedule onboarding touchpoints with Framework, Agile, Digital Tools, and Training leaders.
• Maintain the PMO "Where to Go for What" guide and ensure PM-facing spaces remain structured and intuitive.
Small Projects, Cadence & Engagement Tracking
• Manage 1-2 small, low-risk PMO internal projects (CoP modernization, CIAC workflow improvements, PMO resource organization).
• Provide basic scheduling, tracking, and milestone visibility to PMO leaders.
• Maintain the master PMO calendar (CoP, CIAC, Office Hours, readiness cycles, events) and publish monthly or quarterly "PMO at a Glance" views.
• Track PM participation across PMO programs (CoP, CIAC, Office Hours, onboarding) to identify engagement patterns and improvement opportunities

• Experience coordinating meetings, communities, or cross-functional groups.
• Ability to consolidate feedback, identify themes, and support continuous improvement.
• Experience with Microsoft Teams, SharePoint, and collaboration platforms.
• Ability to work independently, prioritize multiple activities, and support PMO leaders in a matrixed environment.
Preferred Skills and Education
• Degree major or minor in Project Management (preferred) or equivalent combination or experience and education.
• CAPM certification or desire to obtain CAPM.
• Experience in PMO environments or project delivery support roles.
• Familiarity with PMO practices, project management approaches, or enablement programs.
• Experience supporting onboarding or employee experience workflows.
• Background in community engagement or communication coordination.
