Job description

Job Title: Pharmaceutical Project Manager

KL Software Technologies (“KLST”) is seeking an experienced Pharmaceutical-industry-focused Project Manager in Newark, NJ, for full-time employment only (www.klstinc.com ).

We are seeking an experienced, client-facing Project Manager who is self-motivated, eager to take on a rewarding challenge, and eager to make an immediate impact. You will be responsible for leading and managing projects and product implementations that meet our pharmaceutical clients’ business needs. The ideal candidate will have 12+ years of experience exclusively as a Project Manager in the US pharmaceutical industry, ideally at pharma giants such as Merck, Pfizer, Eli Lilly, Johnson & Johnson, etc., managing multiple concurrent projects with million-dollar-plus budgets.

All shortlisted candidates will need to go through at least 2 rounds of panel interviews and a final round of interview with the CEO. Selected candidates are required to start immediately or within the next 2 weeks.

Key Responsibilities:

  • Manage multiple pharmaceutical projects with varying budgets ($500K – $2m+) from initiation through delivery.
  • Manage, track, and report project tasks (work items), budgets, change requests, and keep a daily pulse on overall project health using tools like JIRA, Confluence, Microsoft Project, Microsoft Excel, SharePoint, and Microsoft Teams. Prepare, author, and distribute regular project Status Reports (weekly, bi-weekly, and monthly) to clients, executive stakeholders, and internal leadership, clearly communicating project progress, key milestones, risks, issues, dependencies, budget utilization, and overall health indicators (RAG status).
  • Use Agile methodologies (SCRUM) to manage the pharmaceutical project delivery lifecycle.
  • Act as the Primary Project Contact by organizing and leading all client communications and project delivery-related conversations, including producing and presenting clear, concise, and timely Status Reports that keep clients and stakeholders informed of progress, milestones, risks, and next steps.
  • Keep track of current market trends and the competitive landscape.
  • Collaborate with cross-functional pharmaceutical, MedTech, and regulatory teams to ensure project delivery alignment with industry and compliance best practices.
  • Occasionally required to work with the Marketing and Sales team for responding to Requests for Proposals and preparing Statements of Work for prospective clients. Author and maintain comprehensive project documentation and Status Reports, ensuring accurate, consistent, and audit-ready reporting throughout the project lifecycle.

Key Qualifications:

  • At least 10+ years of experience working exclusively as a Project Manager in the US pharmaceutical industry, ideally at pharma giants such as Johnson & Johnson, Merck, Pfizer, or Eli Lilly, leading complex projects using SCRUM.
  • Demonstrated experience managing at least two (2) large-scale pharmaceutical projects (at least $1m+ budget each) simultaneously with a 6-8 months+ implementation timeline while interacting with multi-geo, cross-functional teams.
  • Strong working knowledge of Microsoft Teams, SharePoint, JIRA, Confluence, and Microsoft Excel for planning is required.
  • SAP ERP experience is required, along with familiarity with the MedTech area and pharma-specific processes such as GxP, computer system validation (CSV), and FDA regulatory compliance.
  • Excellent written and verbal communication skills, including strong speaking and presentation abilities, experience in executive-facing presentations, and proven expertise in writing clear, well-structured project Status Reports for clients and senior leadership.
  • Ability to collaborate actively and effectively with multidisciplinary, geographically spread teams in multiple time zones.
  • Ability to work and thrive in a fast-paced, rapid growth environment with frequent context switching, juggling priorities, and driving large teams towards agreed deadlines.
  • A team player with passion, initiative, and leadership ability.
  • Solution-oriented, inventive, and self-starter. Accustomed to fast-paced environments and managing multiple projects with independent delivery schedules.
  • Ability to facilitate meetings with individuals and/or groups to gather, understand, and articulate their business needs.
  • Analytical skills to critically evaluate the information gathered from multiple sources, reconcile conflicts, and decompose high-level information into clear potential deliverables.
