This position is located in our Administrative Offices located in the Gorsuch Vail Village Store, Vail Co. 

About the Role:

We are seeking a highly organized and detail-oriented Administrative Assistant to support our Operations and HR teams in a dynamic, fast-paced luxury retail environment.   This dual role position plays a critical part in ensuring the smooth execution of daily business and HR functions, contributing to the efficiency and professionalism of the organization as a whole.  

Key Responsibilities:

Operations Support 

  • Assist with scheduling, calendar management, and coordination of cross-departmental meetings.
  • Maintain accurate records related to store operations documentation, other weekly, monthly and EOY reports, vendor, supplier communications.
  • Process work orders, vendor invoices, and operations-related expense reports.
  • Support fulfillment documentation for pick lists, store shipments to customers and customer returns to stores.
  • Coordinate with store and department teams to track operational metrics and generate summary reports weekly and monthly. 

HR Administrative Support

  • Organize and maintain digital employee records and documentation (onboarding, compliance, performance. 
  • Assist with recruitment logistics:  posting jobs, coordinating interviews, and scheduling new hire orientation and training. 
  • Support new hire onboarding and offboarding processes (forms, equipment, scheduling, documentation). 
  • Maintain confidentiality of sensitive employee data in accordance with HR and legal best practices. 
  • Help prepare materials for training sessions, company events, and internal communications such as digital newsletter.

General Administrative Duties

  • Serve as the first point of contact for internal administrative requests from operations and HR leadership.
  • Manage email inboxes and routine communication on behalf of Operations and HR Managers.
  • Assist in coordinating travel and accommodations for Manager's and staff as needed. 
  • Order office supplies and ensure administrative workflows are maintained efficiently.

Preferred Qualifications:

  • 2+ years of administrative experience, ideally supporting Operations and / or HR functions.
  • Previous experience in retail, luxury retail, or a customer-centric industry strongly preferred.
  • Strong organizational skills with exceptional attention to detail and time management. 
  • Proficiency in Microsoft Office (Word, Excel, Outlook, SharePoint) and Canva; familiarity with HRIS (ADP) and POS systems a plus. 
  • Excellent verbal and written communication skills.
  • High level of discretion and professionalism in handling confidential information. 
  • Bachelor's degree in business or management preferred.

Compensation and Benefits: 

  • The anticipated pay range for this position is $30 to $35 per hour.   The rate of pay is the range we reasonably expect to pay for this position and may vary based on job-related knowledge, skills, and experience.
