Job description

One Federal Solution is seeking a Scientific Engagement Specialist III to lead the planning, coordination, and execution of conferences, meetings, executive events, and other scientific engagement activities.

The Scientific Engagement Specialist III will work closely with the Government Lead to manage complex event requirements, coordinate logistics and stakeholders, support executive and VIP engagements, and ensure compliance with applicable Department policies, procedures, security requirements, and established timelines.

Key Responsibilities
  • Planning & Policy Adherence: Lead event planning and site evaluations with the Government Lead in strict accordance with all applicable Department policies and procedures.
  • Logistics & Setup: Manage event logistics (vendors, travel, and quotes) and ensure all physical and IT/AV room configurations are fully tested and completed in advance.
  • Execution & Hospitality: Manage day-of event execution, ensuring all materials, hospitality services, and room setups are completely finalized prior to guest arrival.
  • Executive & VIP Support: Provide comprehensive support for executive events, managing VIP logistics, security access, and coordination with the Protocol Officer.
  • Reporting & Documentation: Process all conference approval packages and attendance reports in accordance with official guidance and maintain historical event archives.
  • Staffing & Service Level Agreement: Maintain required on-site staffing, conduct daily check-ins, and meet all established response time metrics for communications and “pop-up” requests.
  • IT & Security Compliance: Exclusively use approved government (.mil) networks and software for official business, ensuring zero data transfer to contractor or personal accounts.
  • Deadlines & Tracking: Strictly adhere to all Government-established timelines and maintain a fully accessible central event calendar for all tasks and milestones.
Required Qualifications

This position requires all the qualifications of the Scientific Engagement Specialist II, including:

  • Demonstrated competence in all aspects of meeting/event planning.
  • Ability to effectively plan, manage, and execute conferences and events.
  • Ability to effectively communicate both verbally and in writing.
  • Thoroughly familiar and proficient with commercial software packages, including Microsoft Word, Excel, and PowerPoint.
Education & Experience

Certified Meeting Professional (CMP) designation or Certified Government Meeting Professional (CGMP) designation and at least five (5) years of experience in meeting planning (or similar experience).

OR

In lieu of the desired certification, the Scientific Engagement Specialist III must have at least seven (7) years of experience as a conference/event planner.
