Job description

Job Purpose: This position is responsible for day-to-day administrative and general office duties including word processing, filing, faxing, data entry, and medical record scanning and processing. Greets/assists patients and visitors in a prompt, courteous, and professional manner. May receive incoming telephone calls and will treat in the same manner.
Essential Functions: (Examples of Duties)
  1. Verifies necessary information and updates the patient database as needed.
  2. Records patient demographics to include Social Security number, address and insurance information.
    Verifies insurance eligibility and understands which appointments require referrals and authorizations.
  3. Facilitates patient flow and communicates delays with patients and clinical staff.
  4. Explains financial requirements to the patients or responsible parties and collects copays, pre-payments, outstanding balances, and collection balances as required.
  5. Schedules, coordinates, confirms and reschedules patient appointments according to established procedures. Relays necessary messages to staff.
  6. Ensures that all required Premier forms are up-to-date and signed by the patient or patient's parent.
  7. Ability to clearly explain each form and its purpose.
  8. Responsible for keeping the reception and patient waiting areas, and office files clean and organized.
  9. Promptly and professionally answers telephone calls. Routes calls appropriately, offering voicemail, paging, or redirection of calls as needed.
  10. Phones or pages employees to meet visitors and directs visitors to appropriate waiting areas.
  11. Reconciles daily cash and balances the cash drawer.
  12. Participates with other staff to seek account resolution.
  13. Responsible for the integrity and management of the medical record.
  14. Receives and processes patient related information to be included in patient charts, including laboratory results, hospital reports, prior records, ect.
  15. As necessary, transfers current and historical data entry, faxing, scanning, or importing documents.
  16. Attends staff meetings
  17. Maintains patient confidentiality.
  18. Performs related work as required.

Job Requirements/Qualifications: (Describe minimum qualifications, preferred or required)
Education: High school diploma or GED
Experience: One year of experience in customer service or reception, preferably in a medical office setting.
Knowledge and Skills: Knowledge of grammar, spelling, and punctuation to type patient information. Knowledge of basic arithmetic to make simple calculations. Ability to operate a computer, multifunction Xerox machine, and medical records scanner.
Skill in greeting patients and answering the telephone in a pleasant and helpful manner. Ability to read, understand, and follow oral and written instruction.
Ability to speak clearly and concisely with a pleasant voice. Ability to handle stressful situations. Ability to establish and maintain effective working relationships with patients, employees, and the public. Ability to sort and file materials correctly by alphabetic or numeric systems. Ability to maintain confidentiality of sensitive information.

Working Conditions: Work is performed in an office environment. Involves contact with patients and the public. Occasional stress due to multiple interruptions. Interaction with others is constant and interruptive. Contact involves dealing with sick people.
Physical Demands: Requires sitting for long periods of time. Requires ability to hear within normal range. Requires eye-hand coordination and manual dexterity sufficient to operate a keyboard, computer, calculator, telephone, copier, and other office equipment as necessary. Requires eyesight correctable to 20/20 and the ability to distinguish words and letters in their proper order. Must be able to view computer screens for long periods of time.
