Overview
The Medical Media Indexing Specialist is responsible for accurately indexing and categorizing medical images and media files within the Epic electronic health record (EHR) system. This role ensures that all media is properly linked to the correct patient record, encounter, and clinical context to support continuity of care, compliance, and efficient retrieval by clinical teams.
Responsibilities
  • Review and validate incoming medical images and media files for accuracy and completeness.
  • Index media into Epic according to established workflows, ensuring correct patient identifiers, encounter details, and document types.
  • Apply appropriate metadata and tags to facilitate efficient search and retrieval.
  • Monitor media queues and resolve discrepancies or errors promptly.
  • Collaborate with clinical staff and IT teams to troubleshoot indexing issues.
  • Maintain compliance with HIPAA and organizational privacy/security standards.
  • Participate in quality assurance audits and continuous improvement initiatives.

Qualifications
Skills
  • Knowledge of HIPAA regulations and data privacy best practices.
  • Familiarity with medical terminology and clinical workflows.
  • Proficiency in Microsoft Office Suite and basic computer troubleshooting
  • Strong attention to detail and organizational skills.
  • Ability to work independently and manage multiple tasks in a fast-paced environment.

Education & Experience
  • High school diploma or equivalent
  • Associate's degree in health information management or related field preferred
  • Prior experience in health information management or medical records
  • Experience with Epic EHR system strongly preferred
