Planned Parenthood Federation of America (PPFA) is a 501(c)(3) charitable organization that supports the independently incorporated Planned Parenthood affiliates, which operate non-profit health centers across the U.S. PPFA also works to educate the public on and advocate for issues of sexual and reproductive health. Formed as the advocacy and political arm of Planned Parenthood Federation of America, Planned Parenthood Action Fund is a separate non-profit membership organization tax-exempt under section 501(c)(4). The Action Fund engages in educational, advocacy, and limited electoral activity, including grassroots organizing, legislative advocacy, and voter education in furtherance of the Planned Parenthood mission. Planned Parenthood Federation of America (PPFA) and Planned Parenthood Action Fund seek a Media Assistant to support the work of the Communications Department within the Communications & Culture division of PPFA. This job reports to the Director, Federal Advocacy Communications in the External Affairs division. The communications team provides strategic communications guidance, support, and tactics to PPFA and Planned Parenthood affiliates. 

This is a 2-year cycle hire position with an end date of July 2028. 

Purpose:
  • The media assistant is responsible for providing administrative support for the communications team's activities, monitoring and analyzing media coverage of relevant news and issues, distributing incoming media requests, leading the team’s daily tipsheet, maintaining press lists, and expanding Planned Parenthood’s reach in new media. Position supports the federal advocacy communications, state advocacy communications, and Latino communications teams.
Engagement:
  • This role will work with the advocacy communications teams to research, analyze, and create reports on media activities, and track earned media to collaboratively achieve desired goals. The media assistant will help identify external vendors working on innovative communications products, and manage these relationships; assist with media engagements with PPFA spokespeople as needed; and recommend ways to increase readership of the daily tipsheet and improve internal efficiencies. 
Delivery:
  • Monitors media inquiry phone line and email inbox, distributes media requests to appropriate staff, and ensures that incoming requests are followed up on.
  • Helps track, compile, and circulate media coverage in English and Spanish to appropriate staff in real time, as well as compiles news clips into comprehensive daily summaries.
  • Helps develop and maintain media lists and distribute press releases and other press materials through software systems and manually.
  • Post media material to Planned Parenthood websites and organize electronic files.
  • Helps draft and send the team’s daily tipsheet to reporters and other communications materials as needed.
  • Schedules and coordinates conference call logistics and agendas for both internal calls and external calls with members of the media.
  • Performs other duties as assigned.
Knowledge, Skills and Abilities (KSAs):
  • Bachelor’s degree or two years of work experience preferred.
  • Excellent writing, organizational, and customer service skills. 
  • 1-2 years of media relations, customer service, or work experience preferred.
  • Interest in and/or familiarity with the news media landscape strongly preferred.
  • Knowledge of sexual and reproductive health and rights issues preferred.
  • Detail-oriented in a fast-paced multi-task environment. Quick to learn new systems and processes; Great at troubleshooting and finding innovative ways to solve problems.
  • Some Spanish proficiency is preferred, but not required.
  • Knowledge of diverse groups, working with a diverse workforce, and sensitivity to and appreciation of cultural differences are required.
  • Proficiency with Google products (Gmail, Google Docs, Google Drive, Google Calendar), e-mail marketing tools, and media management systems.
