Job description

Summary/Objective

We are seeking a highly organized and proactive Administrative Assistant to support our Implementation Team. This role plays a vital part in ensuring the smooth coordination and execution of project deliverables, client onboarding, internal communications, and administrative processes. The ideal candidate thrives in a fast-paced environment, pays close attention to detail, and communicates effectively with both internal and external stakeholders.

Essential Functions

  • Lead and execute all administrative startup activities for new Chick-fil-A Supply Distribution Centers, ensuring operational readiness from pre-opening through go-live.
  • Coordinate New Hire Orientation (NHO), onboarding processes, travel logistics, training schedules, and team member communications.
  • Train, mentor, and support Distribution Center Administrators by developing training plans, SOPs, job aids, and administrative best practices.
  • Manage startup budgets, purchase orders, vendor partnerships, invoicing, expense tracking, and financial administration.
  • Oversee facility startup logistics, including office setup, supplies, signage, uniforms, PPE, and administrative infrastructure.
  • Partner with General Managers, Talent Leaders, Operations Teams, and Support Center stakeholders to ensure successful distribution center launches.
  • Develop, standardize, and continuously improve administrative processes, procedures, and implementation strategies across startup locations.
  • Serve as the primary administrative leader and trusted business partner, providing ongoing support, problem-solving, and stabilization assistance for newly launched distribution centers. Between clients, hiring teams, and candidates, ensuring a seamless and positive experience throughout the hiring lifecycle.
  • Coordinate and manage business travel arrangements for 100+ team members and leaders, partnering closely with Direct Travel agents to ensure efficient booking, itinerary management, and travel support for Distribution Center operations.

Required Education and Experience

Qualifications include:

  • Proven experience in an administrative or project coordination role, preferably in a tech, SaaS, or implementation setting.
  • Strong organizational skills with the ability to prioritize multiple tasks effectively.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and collaboration tools like Google Workspace, Zoom, Slack, etc.
  • Familiarity with project management or CRM tools is a plus (e.g., Salesforce, Trello, Notion).
  • Detail-oriented and able to work independently with minimal supervision.
  • High level of professionalism and discretion with sensitive information.


Preferred Education and Experience

  • Associate's or Bachelor's degree in Business Administration, Project Management, or a related field.
  • Experience supporting project managers or implementation consultants.
  • Understanding of implementation or onboarding workflows in software/SaaS environments.

Working Conditions and Physical Demands

  • This role is primarily office-based but located within or adjacent to a warehouse environment.
  • Regular exposure to temperature-controlled warehouse areas (refrigerated or frozen zones) may occur when coordinating with warehouse staff or conducting inventory checks.
  • May require occasional walking through the warehouse to access records, communicate with staff, or oversee logistics documentation.
  • Noise levels may vary and can include warehouse equipment such as forklifts and pallet jacks.
  • Must be able to sit or stand for extended periods while using a computer or phone.
  • Occasional lifting of office supplies or small packages (up to 25 lbs) may be required.
  • Standard working hours are [insert hours], but flexibility may be needed during peak operational periods (e.g., inventory audits, large shipments, or seasonal surges).
  • Appropriate PPE (e.g., safety vest, closed-toe shoes) must be worn when entering active warehouse zones.
