Job description

The French American Academy is seeking a highly organized and proactive Administrative Coordinator to support the daily operations of the Secondary School as a maternity leave cover. This role is essential in ensuring a smooth, safe, and efficient environment for students, staff, and families. The Administrative Coordinator provides direct administrative support to the Secondary School Director, Head of School, and Business Director, and plays a vital role in maintaining communication, managing logistics, and supporting school life and safety protocols.
Reception, Security & Video Surveillance
  • Greet visitors, assign badges, and manage visitor policy
  • Oversee iPad door control system and reception area
  • Handle phone system, FluentStream contact, and call logs
  • Manage mail and deliveries
  • Monitor and maintain daily operation of security cameras
  • Maintain emergency procedures and documentation
  • Prepare badges for staff/visitors in advance
  • Keep staff directory up-to-date

Staff Management
  • Arrange substitutes for absent staff per policy
  • Inform staff of replacements/room changes by 8:30am

School Life
  • Send welcome packets to new families
  • Communicate key info (lunch, holidays) to parents/staff
  • Track attendance and follow up on unexplained absences
  • Coordinate student lunches and report accidents/incidents
  • Coordinate students transportation between campuses
  • Support campus events and manage printer/Xerox operations
  • Assist new staff with software, track tech inventory

Student Medical
  • Maintain and audit student medical files
  • Act as First Aid responder, manage supplies, inform parents
  • Update and share emergency medical plans with staff
  • Support students with medical needs and coordinate with nurse

Skills required
Confident, calm and respectful communication with students, parents, community and staff

  • Computer skills (Powerpoint, Excel)
  • CPR + First Aid training
  • Fluent English is required; French is a significant advantage.
