POSITION SUMMARY:
The Materials Supervisor is responsible for planning for the ordering, receiving, storage, and distribution of all supplies used in the Operating Room, Emergency Room, and Med/Surg Department. Materials Supervisor will maintain adequate inventory in a cost-effective manner; and include assisting in establishing and maintaining uniformity and accuracy of patient charges.
POSITION RESPONSIBILITIES
ESSENTIAL FUNCTIONS
Inventory Management
- Monitor and maintain inventory levels of medical supplies and equipment across multiple departments.
- Utilize inventory management software to track stock levels, expiration dates, and usage patterns.
- Conduct regular audits and cycle counts to ensure accuracy and compliance with regulatory standards.
- Will coordinate fiscal year-end inventory counts for OR, Med Surg, and ED departments.
- Demonstrate ability to delegate tasks and motivate the team to work together.
- Assist with disposition and monitoring of obsolete and slow-moving inventory.
- Documentation of written and oral to communicate of valuable information of supplies on backorder or special orders.
Demand Forecasting and Planning
- Collaborate with clinical staff and department heads to forecast demand for medical supplies and equipment.
- Analyze historical usage data and trends to accurately predict future inventory needs.
- Adjust inventory levels based on seasonal fluctuations, patient census, and special events.
Supplier Management
- Coordinate with vendors and suppliers to ensure timely delivery and replenishment of inventory.
- Negotiate contracts and pricing agreements to optimize procurement costs while maintaining quality standards.
Resolve issues related to product shortages, quality concerns, and backorders.
Process Improvement
- Identify opportunities to streamline inventory management processes and reduce waste.
- Implement best practices for inventory control, including barcode scanning, RFID tracking, and stock rotation strategies.
- Recommend improvements to supply chain logistics to enhance efficiency and reduce lead times.
Reporting and Analysis
- Prepare regular reports on inventory levels, consumption rates, and inventory turnover metrics.
- Analyze data to identify cost-saving opportunities and operational efficiencies.
- Communicate findings and recommendations to materials manager and administration.
DEPARTMENTAL FUNCTIONS
Surgery Department
- The Inventory Specialist is responsible for the ordering, receiving, storage, and distribution of all supplies used in the O.R.
- Plans ahead to ensure appropriate supplies and instruments are available ahead of scheduled surgeries
- Implement inventory control procedures to minimize waste and optimize inventory turnover.
- Monitor and track inventory levels, anticipating potential shortages and coverages.
- Maintain adequate surgery inventory in a cost-effective manner
- Accurate procedure chart input.
- Responsible for all required Medical Device Tracking, pertaining to Surgical Services
- Coordinate all โreturnโ items in a timely manner
- Coordinate all โrecallโ items in a timely manner
- This position is responsible for the maintenance and coordination of the surgical supply system ensuring that it operates in a fiscally sound manner and manages supplies and equipment from acquisition to disposition
Emergency and Medical Surgical Department
- Maintains accurate inventory levels and ensures inventory is available and ready for use
- Coordinates disposal, return, and reallocation of obsolete items in the inventory
- Files claims with manufacturers when defective goods are found in inventory
- Audits inventory on a regular basis and provides reports to management
- Coordinates with Buyers to keep up to date status of shipments and tracking information
- Serves as a liaison with shipping companies to ensure the most timely and cost-effective shipping methods are utilized
- Assures accurate inventory chart input.

POSITION QUALIFICATIONS
MINIMUM EDUCATION
Bachelorโs degree.
PREFERRED EXPERIENCE
MBA degree preferred.
MINIMUM EXPERIENCE
- Minimum experience of five years in inventory management within a healthcare setting.
- Knowledge of medical terminology, pharmaceuticals, and medical equipment.
- Proficiency in inventory management software (e.g., SAP, Meditech) and MS Office Suite.
- Strong analytical skills with attention to detail and ability to interpret complex data.
Excellent communication and interpersonal skills to collaborate effectively with clinical staff and vendors.
