Job description

Office Manager / Executive Assistant Job Description

The Office Manager / Executive Assistant serves as the operational backbone, executive gatekeeper, and culture coordinator for Marquee Sports Network. Providing high-level, confidential support to the Executive Team, this multi-faceted role independently oversees daily office administration, human resources workflows, partner events, and payroll administration. The ideal candidate thrives in a fast-paced environment, exhibits meticulous attention to detail, and is able to balance executive support, HR and payroll duties with hands-on facility coordination

Key Responsibilities

Office Administration & Executive Support

  • Provide high-level administrative support to the executive team with absolute confidentiality, managing challenging calendars, booking travel, processing expenses, and composing correspondence.
  • Monitor incoming communications for executive leadership, independently managing responses, prioritizing daily tasks, and resolving operational challenges on their behalf.
  • Submit authorized corporate wire transfers for CFO approval and manage platform administration for critical accounts including Zoom, Uber for Business, DocuSign, Amazon for Business, and operational Smartsheets.
  • Act as the system administrator for the new expense reporting program, working closely with the CFO to manage reporting configurations, user compliance, and financial tracking needs
  • Act as the primary liaison for stadium operations and security, coordinating building IDs, parking access, and corporate updates.
  • Manage work orders and office repairs, collaborating with external vendors and stadium partners to oversee all daily office maintenance.
  • Oversee facilities management, including business license renewals, code compliance, and employment law postings.
  • Manage shared kitchen facilities, partnering with co-tenants to optimize shared vendor expenses and maintain office space standards.
  • Coordinate the distribution of sports season tickets, managing custom tracking frameworks and request workflows.

Primary Payroll Administrator

  • Process end-to-end payroll, including timecards, PTO allocations, merit increases, bonuses, and severance payouts in ADP.
  • Monitor local labor laws, execute scheduled minimum wage adjustments, and submit annual ACA compliance data.
  • Track seasonal stadium ticket usage to calculate, audit, and submit year-end employee tax fringe metrics to the CFO.

Human Resources Operations

  • Manage system configurations, benefits, and time-off policies directly in the PEO platform.
  • Manage employee onboarding and offboarding, including workspace prep, IT provisioning, account setups, asset collection, and security access.
  • Maintain recruitment and performance dashboards, standardize candidate communications, and schedule annual review timelines.
  • Oversee compliance screening processes for all staff, including background checks, drug screenings, and I-9 verifications.
  • Organize administrative logistics, schedules, and agendas for annual benefit renewals.

Event Planning

  • Plan, budget, and execute internal staff milestones, off-site client events, board meetings, and high-touch stadium suite hospitality experiences within cost guidelines.
  • Direct logistics for large-scale, out-of-state client activations, including booking flights, securing hotel blocks, arranging venue buyouts, negotiating catering contracts, and managing transit vouchers.
  • Partner with the charity foundation departments to coordinate stadium tours and facilitate premium bid-on client experiences.

Qualifications & Skills

Required

  • 5+ years of experience as an Executive Assistant, Office Manager, or Operations Coordinator, supporting C-suite or VP-level leadership.
  • Direct experience running payroll networks accurately, navigating PEO platforms (ADP preferred), and utilizing Smartsheet alongside other tracking platforms to build custom files and tools.
  • Proven ability to handle highly sensitive compensation details, confidential financial records, and executive communications with professional discretion and judgment.
  • Strong track record of orchestrating corporate events, including travel, catering, and budget management.
  • Experience managing and tracking sports ticket distributions and request workflows.
  • Familiarity with stadium facility operations, venue security protocols, and specialized industry software (such as WideOrbit)
  • A passion for sports with a background working in broadcast media, or sports entertainment industries a plus.
