Job Description

We are seeking an organized and detail-oriented Marketing Operations & Production Specialist to join our team. This role is central to ensuring our marketing communications and social media projects flow seamlessly through creative review, document control, production, and final delivery. Acting as a key operational leader, you will ensure projects are delivered on time, meet high-quality standards, and comply with company procedures, enabling the creative team to focus on strategic execution.

Primary Responsibilities

1. Traffic & Workflow Management (60%)

  • Identify and implement opportunities to improve marketing production workflows, streamline processes, and enhance efficiency.
  • Develop and recommend solutions for workflow delays or roadblocks to project stakeholders.
  • Manage the intake process for creative project requests and ensure smooth progression from start to finish through internal review and quality systems.
  • Track project feedback and ensure deadlines are met while monitoring resource utilization.
  • Submit and track marketing collateral packages through the internal Marketing Change Order (MCO) and e-signature compliance systems for regulatory approvals.
  • Develop and maintain the marketing workflow platform, including controls, operating procedures, templates, and standardized workflows.
  • Create and maintain project schedules, timelines, and follow up on outstanding tasks.
  • Lead trade show activities and related planning meetings.

2. Product Management Partnership & Support (30%)

  • Serve as an operational partner to Product Management by providing cross-functional support:
    • Assist with demo model development and deployment.
    • Coordinate surgeon and sales force communications, including organizing the Treace Insider and Surgeon Webinar calendars (scheduling, content coordination, execution support).
    • Lead or participate in project kickoff meetings to align on project scope, deliverables, and timelines.
    • Coordinate recurring project status meetings and updates for stakeholders.

3. Print Production & Asset Management (5%)

  • Lead the production of printed marketing materials, including vendor coordination, proofing, and delivery.
  • Manage the collateral materials ordering website to ensure content is up-to-date and items remain accessible.
  • Collaborate with vendors and internal teams to guarantee quality, cost-efficiency, and timely delivery of print and promotional items.

4. Marketing Planning, Calendar, and Event Support (5%)

  • Maintain the master multichannel marketing calendar within the project management system, accurately scheduling and tracking campaigns.
  • Monitor advertising campaigns and project budgets, tracking deliverables and vendor estimates for on-budget execution.
  • Coordinate the production, compliance routing, and final delivery of assets for trade shows and events, including exhibit graphics and promotional materials.
Qualifications
  • Bachelor's degree in Marketing, Communications, Graphic Design, or a related field is required.
  • Minimum of 2 years of experience in a creative services, marketing operations, advertising agency, or marketing communications environment.
  • Proficient in project management tools such as ClickUp, Asana, Monday.com, or similar applications.
  • Experience in print production and vendor coordination.
  • Experience with Adobe Creative Cloud applications (InDesign, Illustrator, Photoshop) is a plus
