Job description


Kiawah Island Real Estate is seeking a highly organized, detail-oriented Sales Assistant to provide administrative support to a team of sales professionals across our real estate offices on Kiawah Island. This position serves as a key resource by providing seamless desk coverage, managing real estate transactions, supporting client communications, and ensuring the efficient day-to-day operation of the sales team. The ideal candidate thrives in a fast-paced environment, exercises sound judgment, and delivers exceptional service to both agents and clients.

Key Responsibilities
  • Provide administrative support and desk coverage for multiple real estate sales professionals.
  • Prepare, process, and track listing and sales contracts from listing through closing.
  • Maintain and manage real estate databases, property management systems, and client records.
  • Generate reports, special mailings, and other sales and marketing materials.
  • Coordinate inspections, appraisals, closings, and other transaction-related appointments.
  • Respond professionally to client inquiries and provide exceptional customer service.
  • Proofread correspondence, contracts, marketing materials, and other documents for accuracy.
  • Organize and maintain electronic and physical filing systems.
  • Assist with office operations, special projects, and other administrative initiatives as needed.
  • Collaborate with agents, attorneys, lenders, inspectors, and internal departments to facilitate successful transactions.
Qualifications
  • Minimum of three years of administrative experience; prior experience supporting a real estate sales team preferred.
  • Excellent organizational, multitasking, and time management skills with strong attention to detail.
  • Outstanding verbal and written communication skills and a professional customer service approach.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
  • Ability to work independently while managing multiple priorities in a deadline-driven environment.
  • Ability to maintain confidentiality and exercise discretion with sensitive information.
Preferred Qualifications
  • Bachelor's degree preferred.
  • Previous experience with real estate listings, contracts, and closings.
  • Experience with real estate transaction management and property management/database systems.
  • Prior paralegal experience, particularly involving real estate contracts, is highly desirable.
Physical Requirements
  • Ability to work at a computer for extended periods with frequent keyboarding and close visual attention.
  • Ability to sit for prolonged periods while performing administrative tasks.
  • Frequent communication with clients, agents, and business partners in person, by phone, and via email.
  • Ability to lift up to 30 pounds and perform occasional standing, bending, stooping, and reaching.
  • Ability to operate standard office equipment and maintain attention to detail in a busy office environment.
