Job Summary:

The Office and Accounting Manager is a key member of the office team responsible for overseeing the daily administrative operations of the office, ensuring efficient workflow, and supporting leadership in strategic and operational tasks. This role also provides accounting management to input and reconcile all company expenses, invoice preparation, and distribution of monthly client invoicing. The preferred candidate for this position would have administrative and accounting experience and also have a desire to learn the commercial development project management business to offer additional project support to the project managers.

Key Responsibilities

Office Operations & Administration:

  • Oversee day-to-day office functions, ensuring smooth and efficient administrative processes.
  • Manage office supplies, vendor contracts, and office equipment.
  • Oversee IT support with existing third-party provider.
  • Oversee Insurance and 401K support with existing third-party providers.
  • Assist with onboarding new employees and coordinate office-wide events.
  • Foster a positive, respectful office culture consistent with company values.

Accounting Operations & Administration:

  • Manage payment and documentation of office expenses.
  • Manage receipt, deposit, and documentation of client payments.
  • Manage employee timesheets and preparation of project time reports.
  • Manage coordination and preparation and distribution of monthly billing invoices.
  • Reconciliation of bank accounts and coordination with existing third-party account for year-end reporting.

Position Requirements:

  • 5+ years of experience in office management, document control, accounting, or administrative support.
  • Familiarity with digital document management systems (e.g., Microsoft Office Suites, QuickBooks, Adobe).
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal abilities.
  • Ability to manage multiple priorities independently and efficiently.
  • Background in project management, general contracting, or construction is preferred but not required.
