This role will be located at one of Discovery Land Company's locations: Troubadour Golf & Field Club, set outside of Nashville, Tennessee.
Troubadour Golf & Field Club is seeking a Retail Manager to join the Golf Operations Department.
The primary objective of the Retail Manager is to provide exceptional customer service and communication with members, guests and team members. This position, in collaboration with the Regional Director, is responsible for curating, sourcing and purchasing luxury and premium high-end merchandise across a variety of product categories including golf, OP/active, athleisure, logo apparel and custom products/accessories for men, women and children, gift, home, and more for both the Golf Shop, as well as Swag for marketing and events. The Retail Manager also serves as a liaison between the Regional Director and on-site operation by developing a rapport with customers and monitoring sell through to better understand the retail needs of the property and collaborate on buys.

Key Responsibilities

Purchasing:

  • Collaborate with the Regional Director to utilize the Buying Plan and open to buy system, Management One, to properly manage buying workflow process and retail inventory to achieve sales goals.
  • Collaborate with the Regional Director to facilitate all purchases including vendor communications, new account setup, logo instructions, purchase orders and order tracking.
  • Ensure all data in the business model components are accurate and updated in a timely manner
  • Ensure proper maintenance of Egnyte organization, following corporate purchase order SOPs in relation to workflow, POS entry, receiving, OTB reconciliation and On Order tracking
  • Manage freight forwarding processes
  • Collaborate with the Regional Director on custom product development and ensure all branding guidelines are adhered to for retail and marketing swag.
  • Monitor and manage the receipt flow of PO's through On-Order maintenance and regular status updates
  • Work closely with accounting to develop and maintain proper SOPs for processing invoices, inventory control and AP reconciliation.
  • Attend all required trade shows with the Regional Director.
  • Collaborate with Golf Operations leaders on sourcing, purchasing and displaying Swag for tournaments.
  • Assist with sourcing staff uniforms for Club Operations as needed.
  • Update and maintain all vendor contact information.
  • Cultivate and maintain relationships with luxury and designer brand partners, including negotiating account terms, exclusives, limited-edition capsules and allocation of key luxury items for the property.
  • Stay current on the luxury market - designer collections, seasonal launches, price points and emerging brands - and bring forward opportunities that elevate the assortment and reflect the clientele of the club.

Inventory Control:

  • Conduct monthly physical inventory for the Golf Shop and Marketing Swag. Ensure all required month end reconciliations and reporting are accurate and completed on time.
  • Monitor and manage inventory shrink.
  • Work with the Accounting department to reconcile all receipts and outstanding issues.
  • Maintain cleanliness and organization of all Back of House spaces.
  • Monitor OTB, sell through and core items regularly to maintain proper stock levels.
  • Establish and enforce policies for employee purchasing.


Selling/Merchandising:

  • Drive sales through building member relationships and maintaining expert knowledge of luxury and designer brands, their heritage and craftsmanship, as well as current trends in the region.
  • Ensure corporate visual merchandising guidelines are always implemented and adhered to.
  • Assist and service members and their guests with all retail purchases, returns and special orders.
  • Ensure orders are received and merchandised in a timely manner according to on-order timelines and any special events or VIPs on property.
  • Ensure luxury packaging and presentation standards are upheld at every touchpoint, including signature gift-wrap, handwritten thank-you notes, in-room and residence delivery, and personalized gifting for VIPs and special occasions.
  • Ensure proper procedures are followed for all POS transactions including markdowns and employee discounts.
  • Motivate the retail team to drive sales to meet monthly revenue budgets through promotion and customer service, receipt flow management, floor rotations, retail events, etc.
  • Plan and execute trunk shows, experiential events and other promotions to expand the retail offering for members and increase revenues.
  • Maintain a member CRM database with retail information such as brand preferences and sizes.

Training/Staff Development:

  • Develop and implement retail SOP's unique to the club operation and logistics using DLC standards as a baseline.
  • Recruit, onboard and train all retail staff.
  • Oversee scheduling of all retail staff
  • Provide continuous training on luxury product knowledge, brand storytelling, clientele and the service standards expected in a private club luxury retail environment.
  • Develop and implement staff incentives for quality work and meeting sales goals.
  • Collaborate with Regional Director of Retail to identify and develop Managers in Training.

Qualifications

  • One (1) to three (3) years of retail experience in a supervisory or management role.
  • Previous work experience in hospitality or customer service, preferably in a fast paced, luxury service environment preferred.
  • Experience with Point of Sales Systems (Jonas or TEI preferred).
  • Knowledge of Excel and other Microsoft Office applications.
  • Basic knowledge of the golf/boutique/specialty retail industry as it relates to hospitality and private club retail environments.
  • Extraordinary attention to detail, quality, and service.
  • Ability to sell and create rapport with customers.

  • Positive attitude, professional demeanor, and exceptional communication and interpersonal skills to deliver service to members, guests, and team members.
  • Must be able to work flexible work hours/schedule including evenings, weekends, and holidays. Long hours may be required due to business demands.
  • Ability to work in a team environment.
  • Ability to stay calm and focused during the busiest of times.
  • Ability to read, write, speak, and understand English; additional languages preferred.
  • Ability to meet the physical demands of the position including, but not limited to, working indoors and outdoors in all weather conditions, standing, walking, and moving for periods of greater than eight (8) hours, and lifting and carrying items sometimes greater than fifty (50) pounds.
