We're looking for a dynamic and talented Executive Support Analyst to play a pivotal role in supporting mission-critical Navy programs. In this high-visibility position, you'll drive operational excellence by streamlining workflows, prioritizing key deliverables, and ensuring deadlines are met with precision. From managing integrated master schedules and crafting executive-level correspondence to conducting research analysis and maintaining essential databases, your expertise will help keep complex programs on track and mission-ready.
What You'll Do
  • Provide essential support: Answer calls, respond to emails, and tackle a variety of tasks in coordinating staff engagements with the branch head, provide consistent administrative support throughout scheduled core hours, ensuring continuity of office operations, efficiently capture and manage after-action requests, including urgent same-day or next-day needs, and track follow-on action to closure to support leadership priorities.
  • Manage front desk: Ensure seamless traffic flow, prompt phone responses, and timely attention to schedule requests made in person or by email. Maintain Branch phone/recall roster.
  • Plan and execute events: Organize group meetings, conferences, and special events with senior Navy officials, program managers, and key stakeholders, print read-ahead, take notes, and track follow-ups to keep operations running smoothly ensuring seamless and timely delivery
  • Manage leadership calendars: Manage complex schedules to include last-minute changes to leadership or team calendars in person, providing efficient and direct support for dynamic scheduling needs
  • Craft executive communications: Prepare, edit, and refine correspondence, reports, and presentations for top-level decision-makers. Assist leadership with scheduling employee check-in and check-out.
  • Ensure documentation and presentation excellence: Ensure timely review of documents requiring leadership signatures and expertly manage sensitive and sometimes classified documents, including secure receipt, processing, storage and disposal of sensitive materials, review PowerPoint decks for accuracy, completeness, and compliance with SSP branding standards
  • Coordinate visits: Submit VAR requests, greet and direct external visitors and industrial partner guests, ensuring they feel welcomed and are efficiently connected with leadership and assist with coordinating distinguished guest visits.
  • Arrange Travel: Coordinate and arrange travel for leadership, handle itineraries and logistics for senior leadership, coordinate with SATO, prepare site visit agenda(s), trip binders, and file travel claims
  • Technical Support: Provide prompt resolution of technical issues with SIPR Tokens, SVTC, RED, and MS Teams, ensuring uninterrupted support for leadership

What You Bring to the Table
  • A bachelor's Degree in a related field.
  • 3+ years of experience as an executive assistant in a fast-paced, dynamic environment
  • Must hold an active DoD SECRET clearance or higher or have held an active clearance within the past two years.
  • Excellent communication, organizational, and problem-solving skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Project), Adobe Acrobat, Fox It, and Visio.
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • Flexibility to adapt to changing priorities and deadlines
