Description

Position Summary :The Dental Practice Manager is the administrative and operational leader for the Dental Department. In partnership with the Dental Director, this role ensures reliable daily operations, strong patient access, efficient provider support, sound financial stewardship, engaged and accountable teams, regulatory

readiness, and continuous improvement across the dental program.

Decision-Making Scope:The Dental Practice Manager may independently manage routine daily workflows, staff assignments, approved schedules, supply purchasing within budget, vendor coordination, coaching, and approved

process-improvement work. Changes to clinical protocols, treatment standards, provider schedules, clinical staffing models, major capital purchases, new positions, compensation, program expansion, or organizational policy require approval through the appropriate clinical or executive authority.

Essential Functions:

1. Practice Operations and Patient Flow

· Lead day-to-day dental operations, including clinic readiness, staffing assignments, patient flow, chair utilization, emergency access, laboratory coordination, referral processes, and operational huddles.

· Partner with the Dental Director and providers to build and maintain schedules that support access, productivity, continuity, and appropriate clinical coverage.

· Monitor schedule utilization, appointment availability, no-shows, wait times, same-day treatment opportunities, and operational bottlenecks; implement timely corrective actions.

· Standardize front-office, dental assisting, sterilization, patient communication, and closing-the-loop workflows across the department.

· Ensure providers and care teams have the staffing, supplies, equipment, information, and operational support needed for safe and efficient care.

2. Leadership, Staffing, and Team Development

· Directly supervise, coach, develop, and evaluate assigned non-provider dental employees and designated leads.

· Establish clear performance expectations, communication routines, accountability practices, and service standards.

· Partner with Human Resources on recruitment, selection, onboarding, performance management, corrective action, retention, and workforce planning.

· Maintain staffing schedules, review timekeeping and leave requests, monitor attendance and overtime, and adjust assignments based on patient demand and operational needs.

· Conduct regular staff meetings, one-on-one check-ins, introductory and annual evaluations, and staff development planning.

· Promote a respectful, mission-centered culture characterized by teamwork, professionalism, transparency, and timely conflict resolution.

3. Patient Access, Experience, and Service Recovery

· Improve access to dental care by monitoring demand, capacity, recall activity, referral completion, emergency availability, and scheduling effectiveness.

· Ensure consistent patient communication regarding appointments, treatment plans, financial responsibilities, referrals, and follow-up needs.

· Review patient feedback, complaints, and service recovery trends; ensure concerns are addressed within organizational timeframes and used for improvement.

· Promote compassionate, respectful, and culturally responsive service aligned with Christ Community

· Health’s mission.

4. Financial Stewardship and Revenue Cycle Support

· Collaborate with the Dental Director and Finance in annual budget development, monthly financial review, variance management, and capital planning.

· Monitor departmental revenue, expenses, supply utilization, staffing costs, provider productivity, patient collections, and other assigned financial indicators.

· Partner with Revenue Cycle and front-office teams to strengthen insurance verification, charge capture, claim accuracy, denial prevention, payment collection, and reconciliation workflows.

· Ensure patient financial assistance and Sliding Fee Discount Program processes are carried out consistently with organizational policy and applicable HRSA requirements.

· Identify practical opportunities to improve financial performance and operational efficiency without compromising access, quality, or patient-centered care.

5. Quality, Compliance, and Risk Readiness

· Participate in organizational quality improvement, patient safety, risk management, and compliance activities affecting dental operations.

· Monitor assigned operational and quality indicators, conduct or coordinate audits, and ensure corrective actions are implemented and sustained.

· Support compliance with applicable HRSA requirements, HIPAA, OSHA, CDC infection-prevention guidance, Georgia Board of Dentistry rules, emergency preparedness standards, and organizational policies.

· Coordinate required training, safety inspections, infection-prevention monitoring, documentation readiness, and operational support for surveys or site visits.

· Escalate clinical, safety, compliance, staffing, equipment, or patient-care concerns promptly to the Dental Director and appropriate organizational leaders.

6. Facilities, Equipment, Supplies, and Technology

· Maintain a clean, organized, safe, and patient-ready dental environment in partnership with Facilities and clinical leaders.

· Manage inventory controls and routine purchasing within approved budget; reduce waste and prevent avoidable shortages.

· Coordinate preventive maintenance, repairs, equipment inventories, vendor communication, and recommendations for replacement or capital purchase.

· Use the electronic dental record, practice-management system, dashboards, and reporting tools to monitor schedules, productivity, documentation status, access, treatment completion, referrals, and

· other assigned measures.

· Collaborate with Information Technology and vendors on system issues, workflow improvements, and appropriate user training.

7. Educational Programs, Community Engagement, and Growth

· Provide operational coordination for students, residents, and other educational programs, including orientation, scheduling, access, and support needs.

· Support approved community outreach, partnerships, grant activities, and departmental growth initiatives.

· Assist the Dental Director with operational planning for expanded services, workforce development, space, equipment, and program sustainability.

· Mission alignment: Demonstrates compassion, humility, integrity, and genuine care for patients, staff, providers, and the underserved community.

· Accountability: Sets clear expectations, follows through, addresses concerns directly, and accepts ownership for departmental outcomes.

Required Knowledge, Skills, & Abilities:

· financial stewardship.

· Hands-on proficiency with an electronic dental record and practice-management system; experience

· with reporting tools, Microsoft Office, and Google Workspace required.

Education and Experience:

· Bachelor’s degree in Healthcare Administration, Business Administration, Public Health, Healthcare Management, Dental Hygiene, Organizational Leadership, or a related field required. A closely related degree with equivalent relevant experience may be considered.

· Minimum of five years of progressively responsible dental or ambulatory healthcare operations experience, including at least two years of formal supervisory responsibility.

· Experience leading front-office and clinical support personnel in a multi-provider dental practice, community health center, hospital-based dental clinic, academic dental program, or comparable setting.

· Experience with staffing, scheduling, budgeting, revenue cycle support, quality improvement,

· compliance, equipment, and supply management.

· Prior FQHC, community health center, safety-net, or mission-driven healthcare experience strongly

· Master’s degree or recognized dental practice management credential preferred, but not required.
