Job description

As an Admissions Manager, you willbe responsible for assuring fidelity to internal admissions and funding process, and assignment of intake paperwork and assessments, as well as alignment of patient funding sources at the time of admission in partnership with the Executive Director. The Admissions Manager monitors all pending funding and is responsible for ensuring follow-up. This may include the completion of benefit verification with insurance companies and other sources. The Admissions Manager interfaces with referral sources, funding sources, teammates, and patients daily.

Requirements:
  • Bachelor's degree in one of the behavioral science disciplines (psychology, social work, etc.) from an accredited college or university OR equivalent experience conducting client/patient admissions.
  • 2 years' experience supervising others.
  • Working knowledge in substance use disorders and/or mental health, in an addiction treatment facility
  • Valid driver's license in good standing
  • Ability to travel up to 25% as needed

Preferred:
  • Graduate degree in business or one of the behavioral science disciplines (psychology, social work, etc.) from an accredited college or university.
  • 3 years of experience working in behavioral health.
  • 5 years' experience supervising others.

Responsibilities:
  • Assist with the recruitment, hiring, and training of new teammates.
  • Provide supervision, guidance, and direction in daily operations and training to teammates, including making schedules, setting performance standards, and monitoring performance.
  • Complete 90-day and annual FOCUS reviews timely with goals for continual improvement.
  • Encourage and build mutual trust, respect, and a cohesive, yet challenging work environment for all teammates.
  • Comply with organizational policies, procedures, and performance improvement initiatives.
  • Be present and engaged in meetings and required training opportunities.
  • Have a working knowledge of all PTC (Pinnacle Treatment Center) lines of business (RTC, OTP, Detox, etc.) to ensure understanding of appropriate referrals.
  • Serve as a link between Admissions and other departments to ensure the efficient transfer of information essential to operations.
  • Coordinate and oversee all incoming admissions and track all pending discharges to ensure beds are filled and not left open for lengthy periods of time.
  • Maintain the client/patient census, meeting targeted goals, as well as report out daily to identified groups on admissions, discharges, and overall census.
  • Provide culturally sensitive and relevant services to diverse clients/patients and their families.
  • Work with HMO's, counties, other funding sources, and the admissions team to ensure that client/patient funding is in place prior to admission.
  • Maintain consistent communication with clinical counseling team and department managers (where appropriate) to ensure that clients/patients are continuously funded throughout their stay.
  • Maintain an ongoing, continuously updated, inquiry list, admissions list, client/patient list, cataloging past, and present, and potential admissions activity.
  • Collect intake statistical and demographic data.
  • Work closing with the billing and finance departments to troubleshoot billing/financial concerns as they arise as related to the admission process.
  • Report directly to the Executive Director concerning all matters relating to admissions.
  • Using Electronic Health Records, maintain accurate client records as they relate to authorizations, service agreements, self-pay transactions, and other billing scenarios as they arise.
  • Ensure all record requests, subpoenas, court orders, and other types of communication requesting client/patient information are submitted timely to the medical records team.
  • Act as liaison with other service providers.
  • Attend team meetings and complete all training courses timely as required.
  • Other duties as assigned.
