Position Summary:
Provides administrative support to the Business Development & Contract Administration, Engineering departments, and other departments as needed upon request. Responsible for assisting the Manager of Contract Administration with preparing and tracking new service agreements for water, Certificate of Public Convenience and Necessity (CPCN), Business Development, Land Rights, and agreement adherence tasks. Provides essential support functions to the management and other departments by performing a variety of duties. Also responsible for administration duties as requested from other Tidewater departments and Middlesex Water Company. Reports to the Manager of Contract Administration.
Key Responsibilities:
Administrative & Engineering Support
  • Assist with the preparation of purchase orders and work orders for Engineering projects.
  • Provide general administrative support to the Engineering Building, including filing, copying, and mailings as requested.
  • Perform related duties as required.

Document Management & Compliance
  • Record and manage easement documents, contracts, and water service agreements; log all agreements in the Master Contract Log.
  • Implement and maintain the Company's Document Retention Program for the Engineering Building, including oversight of the Document Retention Room and document control.
  • Assist with the preparation and submittal of water Certificates of Public Convenience and Necessity (CPCNs).
  • Coordinate and execute required company mailings, including CPCN mailings and regulatory notifications to customers or landowners.

Financial & Expense Processing
  • Process expense reports and credit card statements for the Engineering Department and TUI Core Leadership Team.

Facilities, Meetings & Office Coordination
  • Organize and coordinate company-wide meetings, including scheduling and meal arrangements as requested.
  • Greet and assist visitors to the Engineering Building while adhering to safety protocols.
  • Order office supplies on an enterprise-wide basis.

Qualifications:
  • Valid driver's license required.
  • Notary Public designation preferred, or ability to obtain Notary certification within 6 months of hire.
  • Strong problem-solving skills with proven abilities in organization, time management, and analytical thinking.
  • Proficient in computer applications, including database management and spreadsheet software.
  • Excellent verbal and written communication skills.
  • Demonstrated sound judgment and discretion, with the ability to handle confidential and sensitive information appropriately.

Education and Experience:
  • Associate's degree in Business Administration or a related field from an accredited college or university preferred.
  • 1-3 years of experience in an administrative or similar role.
  • Proficient with Microsoft Office Suite (Word, Excel, PowerPoint).

Compensation & Benefits:
  • $23.50 - $35.24 hourly, based on experience and qualifications.

  • This position operates primarily in a professional office environment and routinely uses standard office equipment, including computers, phones, photocopiers, scanners, and filing cabinets.
  • While performing the duties of this job, the employee is regularly required to sit, talk, and hear, and must be able to communicate effectively in both verbal and written form.
  • The employee is frequently required to stand, walk, use hands to handle or feel, reach with hands and arms, and move about inside the office to access files, office machinery, and other work materials.
  • This position requires constant operation of a computer and other office equipment such as printers, copiers, calculators, and telephones.
  • The employee must have the ability to visually inspect and review hard copy and electronic documents. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
  • The employee must be able to remain in a stationary position for approximately 50% of the time and occasionally lift and/or move up to 25 pounds.
