Job description

Overview
The Manager, Exhibits is responsible for the successful planning and execution of the IFT FIRST Expo, an integral part of the IFT FIRST Annual Event and Expo. This role serves as the operational lead for the exhibitor and expo-floor experience in alignment with the overall event strategy, working in close partnership with Sales and Client Success to ensure seamless delivery from contract through onsite execution. The position works cross-functionally with Events, Operations, Communications, and other internal teams to fully integrate the expo into the attendee and exhibitor journey. Success in this role requires exceptional attention to detail, strong organizational and customer service skills, knowledge of industry standards and regulations, and the ability to collaborate effectively across the organization.

Essential Responsibilities
Transitions exhibitors from onboarding to execution, ensuring contracted deliverables, expo logistics, compliance, and onsite support are implemented effectively
Responsible for the development of the expo floor plan in collaboration with the general services contractor and Sales teams
Leads the project management, specifications, and implementation of event specifications for expo floor; collaborates with team members with developing the floor plan
Works collaboratively with Manager, Events and the Integrated Communications team to provide timely, accurate information that is used to effectively engage and communicate with exhibitors throughout the process
Identifies and maintains updates and ensures compliance with Exhibitor Rules and Regulations
Develops, coordinates, and maintains the exhibitor service kit in collaboration with the general service contractor and convention center teams
Serves as the primary lead for the Priority Points program, including implementing updates, communicating effectively with exhibitors, and ensuring successful annual execution
Works collaboratively with the Manager, Events to ensure expo-focused content, deadlines, and exhibitor/floor information are integrated into event app, website, attendee communications, and schedule
Manages the Exhibitor Appointed Contractor Registration program
Oversees and coordinates the day-to-day activities of IFT FIRST Floor Managers
Develops, communicates, and implements event security plans and schedules
Leads project management and event operations for IFT activations on the IFT FIRST Expo floor, working cross-functionally with IFT staff teams and the general service contractor
Develops and manages event budgets, expense tracking, budget monitoring, and post event invoice reconciliation and reporting
Compiles, analyzes, maintains, and shares insights from data and metrics for areas of responsibility, identifying and implementing improvements to processes/policies/service models
Provides implementation support for external tradeshows and events through collaborative work with Marketing and Sales on event logistics
Owns and maintains exhibitor operations standard operating procedure documentation
Ensures compliance with industry and legal regulations and best practices, and adherence to company processes and procedures

Travel Required
Occasional domestic travel is expected including the ability to attend occasional evening, weekend, and overnight meetings

Required Education and Experience
Bachelor's degree in business, marketing, hospitality, event management, or equivalent
5+ years of experience or demonstrated competency in hotel, meetings, trade shows, or exhibits management
5+ years of experience or demonstrated competency in project management
5+ years of experience or demonstrated competency using and managing database systems

Preferred Experience
Prior experience in association meetings and events
Experience with a health or scientific organization
Certified Meeting Professional (CMP) designation and/or Certification in Exhibition Management (CEM)
Prior experience in tradeshow management and/or large tradeshows and events
Proficient with Microsoft Office Suites

Compensation & Benefits
Salary Range: $90,000 to 100,000 Per Year (commensurate with experience and qualifications)
