POSITION SUMMARY: We are seeking a highly professional, organized, and customer-focused Wealth Management Administrative Assistant to be the first point of contact for our department. In this role, you will manage phone systems, greet clients with professionalism and tact, and provide essential administrative support for our Trust and Brokerage areas. The ideal candidate will be a proactive individual with strong attention to detail, excellent organizational skills, and the ability to prioritize multiple tasks efficiently. This position requires sound judgment, discretion, professionalism in handling sensitive information, as well as the ability to meet deadlines while ensuring accurate recordkeeping, seamless daily operations, and exceptional client service.
The duties of this position include, but are not limited to:
1. Administrative Support & Office Management:
  • Provide high-level administrative assistance to the Wealth Management team, including data entry, filing, scanning, and handling correspondence with precision.
  • Oversee office organization, maintain comprehensive records, and ensure timely completion of all administrative tasks to support team efficiency.
  • Assist in the preparation of detailed reports, spreadsheets, graphs, and other necessary documentation for Trust and Brokerage functions, ensuring accuracy and professionalism.

2. Client Service & Communication:
  • Serve as the first point of contact for clients, managing phone systems and greeting visitors with professionalism, tact, and discretion, whether in person, via phone, or email.
  • Communicate effectively with clients regarding account updates and service needs, ensuring a high standard of service and maintaining a welcoming demeanor in all interactions.
  • Draft, proofread, and prepare business correspondence, memos, emails, and presentations with proper formatting, a high level of accuracy, and attention to detail, demonstrating strong business communication skills.

3. Account Management & Reporting:
  • Assist Wealth Management Advisors and Brokers in managing client accounts by maintaining accurate records, processing transactions, and generating reports.
  • Utilize financial and office software to track client information, create comprehensive reports, and support team operations.
  • Prepare, proofread, and distribute customer statements and other departmental mailings, ensuring professional presentation and accuracy.

4. Event Coordination & Community Engagement:
  • Coordinate and schedule client meetings, maintain team calendars, and prepare meeting materials, ensuring a seamless experience for both clients and internal teams.
  • Assist in the planning and execution of internal and community promotions, events, and outreach activities, including client luncheons and networking events, supporting the Wealth Management team's growth and community presence.

5. Confidentiality & Compliance:
  • Handle sensitive client and company information with the utmost confidentiality, ensuring strict adherence to industry regulations and company policies.
  • Assist customers with secure access to their safe deposit boxes in accordance with established guidelines.

Education & Experience:
  • Associate's degree in business, finance, or a related field preferred, with a minimum of 2+ years of experience in a professional setting, ideally within wealth management, finance, or banking, or 3+ years of administrative experience, particularly in financial services, banking, or wealth management, will also be considered with a commitment to furthering relevant education or professional development.
  • Relevant certifications or coursework in business, finance, communication, or administration are a plus.

Professional Skills & Qualifications:
  • Exceptional interpersonal, verbal, and written communication skills; ability to interact with high-net-worth clients and executives with confidence, discretion, and professionalism.
  • Strong ability to manage multiple tasks efficiently, prioritize workload, anticipate needs, and solve problems independently.
  • Works collaboratively with team members while also handling responsibilities independently.
  • Must demonstrate discretion and maintain strict confidentiality; experience with compliance in financial services is preferred.
  • Ability to follow detailed instructions-written, verbal, or diagram-based-and apply sound judgment in all tasks.

Technical Proficiency:
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with CRM systems, banking software, and automated reporting tools is a plus.
  • Adept at operating standard office equipment such as computers, calculators, telephones, copiers, and fax machines.
  • Strong numerical aptitude, with the ability to perform basic calculations and interpret business and technical documents, including flow charts, budgets, and procedure manuals.

Customer Service & Organizational Skills:
  • Exceptional customer service and interpersonal skills, with the ability to act with integrity, professionalism, and confidentiality in all interactions.
  • Excellent time management and organizational skills, with the ability to assess urgent situations and prioritize tasks effectively.
  • Self-motivated and able to perform duties independently with minimal supervision.

Additional Requirements:
  • A valid driver's license and reliable transportation with appropriate insurance coverage may be required for work-related travel.
  • A background or interest in investments, stocks, and bonds is preferred.
