Admin Support/Mail & File Management

TechSilo is looking for an Admin Support/Mail & File Management professional to provide essential mail room, file management, receptionist, and administrative support services within the USTDA Information Resource Center. If you're passionate about administrative operations, document handling, and delivering reliable office support, this could be the perfect role for you. This is a proposal-based opportunity, and TechSilo is making contingent offers now for inclusion in an upcoming proposal; employment in this role is contingent upon contract award.

In this position, you'll help ensure the smooth day-to-day flow of incoming and outgoing correspondence, maintain organized filing systems, support office operations, and provide responsive customer service to internal staff.

On a given day, you will spend time:

  • Processing, logging, and tracking all incoming unclassified mail and packages, checking for attachments, identifying discrepancies, and contacting originators when necessary
  • Sorting and distributing incoming correspondence, faxes, electronic documents, and shared email messages in accordance with USTDA guidelines
  • Preparing and processing outgoing mail, including express delivery pouches, courier shipments, and post office deliveries
  • Organizing and maintaining physical files, records, and document storage systems
  • Maintaining mail room, copier room, and workroom areas clean, organized, and fully stocked; monitoring office supply levels and notifying the Office of Administration when supplies run low or equipment malfunctions
  • Providing general receptionist and administrative support, including handling phones, responding to inquiries, assisting staff and visitors, and supporting conference room and training room setup as needed
Qualifications

**Required Qualifications**

  • Active Secret clearance required
  • High school diploma required; associate degree or additional higher education preferred
  • 2+ years of relevant administrative, mail room, file management, receptionist, or office support experience
  • Professional demeanor and ability to greet high-level visitors and callers with appropriate appearance and attitude
  • Demonstrated experience with mail operations, including collecting, sorting, distributing, and tracking incoming and outgoing correspondence
  • Experience maintaining receipt logs, mailing records, and shipment documentation
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook), shared email inboxes, and data entry systems
  • Familiarity with office and mailroom equipment (copiers, printers, scanners, fax machines, postage/shipping equipment)
  • Strong written and verbal communication skills with excellent interpersonal and customer-service abilities
  • Excellent organizational skills, attention to detail, and ability to prioritize multiple tasks independently
  • Physical ability to lift, carry, and organize files, mail bins, and boxes; stand, walk, and move between office areas as needed

**Preferred Qualifications**

  • Previous experience supporting a government office or regulated administrative environment
  • Experience with shipping vendors (USPS, FedEx, UPS) or similar courier services
